Overview

The Graduate Program Administrator/Assistant to Chair in the Department of Anthropology reports to the Manager, Finance & Administration and consults closed with the Director of Graduate Studies (DGS) and the Department Chair to proactively identify and complete administrative tasks, raise issues requiring departmental intervention, and gather the information necessary to efficiently make required policy decisions.

Responsibilities

Graduate Program Administrator acts as the interface between the Department and the constituencies with whom it interacts: graduate students, department faculty, the Graduate School, the undergraduate administrator, communications director, and other University administrative units.

  • Ensure students meet Graduate School and Department milestones
  • Manage the new IHUM graduate joint PhD degree
  • Assign and oversee teaching assistants and visiting students
  • Ensure IRB and CRTI compliance advise on extramural grant proposals - NSF, Fullbright, Newcombe, Wenner-Grenn and budgets
  • Advise on fieldwork visas and travel overseas and research budget for graduate work
  • Manage and advise graduate students on placement process
  • Manage graduate courses and work with undergraduate administrator on overlap/conflicts
  • Sit with the curriculum committee and advise on graduate courses and needs
  • Attend monthly GPA and DGS meetings, when necessary
  • Manage graduate section of website with student information and course information
  • Arrange dissertation events
  • Manage Work Students

Assistant to Chair works closely with the Chair on strategic direction of the department as it expands; assist and advise the Chair and management of faculty assignments, courses, and service.

Gather candidate information for appointment to and organize data for Advisory Council Meetings and Academic Reviews. Assist in projects requested by the Chair.

 

 

 

Qualifications
  • Bachelor's degree with 3-5 years relevant work experience
  • PeopleSoft, Sharepoint, Google applications, Microsoft suite, PRIME, Concur, CollegeNet, Drupal, SAFE, Terra Datta; ability and enthusiasm to learn additional systems as needed
  • Experience with budgetary management
  • Ability to work evenings and weekends occasionally, and some Labor and Memorial Day holidays
  • Ability to manage concurrent complex projects
