  • Familiar with managing a multi-provider appointment system
  • Excellent interpersonal, written and verbal communication skills
  • Ability to maintain confidentiality and adhere to all HIPPA protocols
  • Proficient in Microsoft Office and other computer software/databases
  • Knowledge of dental office practice principles and dental terminology
  • Strong problem-solving, analytical, organizational, accuracy and prioritization skills
  • Detail-oriented and dependable with the ability to work independently with minimal supervision, multi-task and meet deadlines
Preferred Qualifications Graduation from an accredited college or university with a Bachelor's degree in Secretarial Science or Business Administration supplemented with five to six years administrative experience allowing for progressive responsibilities in a medical/dental setting. Experience should working with multi-providers in an educational setting. Proficient with Axium patient management software.Responsibilities This position will assist with the coordination and administrative efforts as directed by the Director of Patient Services. The duties include, but are not limited to; quality control by reviewing proposed treatment plans, demographic information, internal and external referral request for accuracy and performing patient compliance counseling focusing on DCG policies and protocol, reviewing student's use and compliance regarding the pre-doctoral appointment system and when necessary taking appropriate action; communicates by correspondence, telephone, computer and personally to provide information, explain and resolve minor problems for both our internal and external customers; inputting changes to students rotations and when directed generating various letters to patients and student clinical activity reports as needed. Greets department customers and assist when required. The duties include, but are not limited to: Administrative Support
Keeping the Director of Patient Services and Patient Care Coordinators (PCC's) and faculty informed of clinic utilization; Adjusting schedules as needed for students; Complete rotation swaps and adjustments as requires; Complete administrative tasks utilizing software for 80-100 senior pre-doctoral students; Quality assurance checks on pre-doctoral students' patient treatment plans for accuracy and completeness; Advising students regarding corrective actions when discrepancies are found ensuring the highest standard of quality; Conduct patient compliance counseling focusing on program policies and protocols to ensure patient eligibility for the pre-doctoral program as it pertains to commitment with time, financials obligations and HIPPA; Notifying assigned PCC's and Director for Patient Services regarding actions taken if assistance is requiredGeneral Office Duties
Answer incoming calls in a courteous and professional manner; Answering questions regarding student assignment or reassignment, requests for appointments or redirecting calls to appropriate clinic; Reviews pre-doctoral students' patients' charts for appropriate contact notes and continuation of treatment as a quality control measure; Notify PCC if issues are found Reports
Weekly updates of the student's clinical production report utilizing reports generated from organizational software Scheduling
Assist students with scheduling special screening patients, collecting patient data for registering and entering any clinical codes determined by the screening faculty/PCC; Backup scheduled for screening and EDS clinic Progress Reviews
Schedule, block and monitor progress reviews for 3 PCC's Customer Service
Collaborate with internal customers when necessary Other Duties
