Academic Records Specialist, Georgetown College Georgetown University

The Academic Records Specialist maintains Georgetown College students' academic records, employing a comprehensive knowledge of the university's student information system and processing all changes to academic records; and provides integral administrative support for special projects, including the Visiting Student Program, New Student Orientation, and Commencement. Reporting to the Manager of Student Academic Records and assisting a team of fifteen advising deans, the Academic Records Specialist works closely with two administrative assistants and several graduate student assistants, and has responsibilities that include but are not limited to:

Academic Records Support
  • Update student records in Banner, the university's student information system:
    • Process major, minor, and certificate declarations
    • Update faculty advisor assignments
    • Post transfer credit (transfer student credit, summer school transfer credit, AP credit, and study abroad credit)
    • Record language requirement exemptions
    • Update class years and expected graduation dates
  • Utilize MyAccess and DegreeWorks (the university's tools for viewing records and tracking degree process) to review and verify academic records
  • Update internal records in local databases and Google Workspace
  • Compile files and documents for students studying abroad
  • Respond to student requests for certification letters
  • Send standard form letters for the advising deans
  • Assist with maintenance of electronic and paper student files
  • Assist the advising deans and the Manager of Student Academic Records with troubleshooting issues in student records and regular data clean-up
  • Liaise with the Registrar's Office and Office of Global Education


Special Projects
  • Provide administrative support and records maintenance to the managing dean of the Visiting Student Program
  • Organize materials for New Student Orientation
  • Manage peer advisor assignments for incoming students
  • Provide administrative support for Georgetown College Commencement and academic awards ceremonies. This may include, but is not limited to:
  • Preparing and proofreading materials
  • Liaising with external vendors
  • Sending invitations and tracking RSVPs


General Administrative Support
  • Purchase supplies in support of the tasks outlined above and submit expense reports
  • Coordinate and organize materials for various faculty and staff committees
  • Monitor general office inbox


Qualifications
  • Bachelor's degree
  • One year of experience in an administrative role
  • Proficiency in use of Microsoft Excel or Google Sheets
  • Highly organized and detail-oriented
  • Excellent interpersonal and communication skills
  • Ability to multitask and prioritize
  • Desire to work in a collaborative environment

Preferred qualifications
  • Experience working in an academic setting
  • Experience with Google Workspace, Microsoft Access, and Banner (or another student information system).
