The University of Tennessee, Knoxville’s division of Online Learning and Academic Programs (OLAP) invites applications for an Administrative Associate 3 position to direct day to day operations within the division, including providing administrative and clerical support, maintaining the OLAP budget, and supporting instructor development initiatives and programs. This is a 12-month, full-time, non-exempt staff position.

 

Position Summary

Reporting to the Assistant Vice Provost for Online Learning & Academic Programs and working within a cross-functional team, this position supports the university’s efforts in providing high-quality, accessible, affordable, inclusive and life-long learning to the residents of Tennessee, and to students across the nation and around the world.

 

UTK’s growing list of online academic programs currently includes 16 Master's degrees, six doctoral or Educational Specialist programs, 13 certificates, and four Bachelor's degrees. New programs for Fall 2021 include a Master’s of Public Health, Bachelor’s in Applied Studies, Bachelor’s in Agricultural Leadership, and an undergraduate certificate in Horticultural Therapy, the university’s first standalone undergraduate certificate program. Job Functions/ Responsibilities

 

  • Initiates and drafts correspondence for the Assistance Vice Provost (AVP) for Online Learning & Academic Programs (OLAP)
  • Manages and maintains the AVP’s calendar
  • Prepares and manages OLAP’s budget, and reconciles accounts on a regular basis
  • Gathers, organizes, and analyzes information pertaining to distance education student enrollment data
  • Provides customer service to internal and external stakeholders by responding to email and telephone inquiries regarding online programs
  • Schedules meetings, prepares agendas and other relevant materials
  • Oversees the equipment inventory and general facilities requests
  • Manages purchasing and travel requests within OLAP
  • Supports OLAP’s instructor development initiatives and programs
  • Coordinates the on-boarding of new employees
  • Reviews and edits online resources and faculty development materials for clarity
 



Qualifications
Competencies/Qualifications

Strong written and verbal communication skills

Extensive knowledge of Microsoft Office products, including Word, PowerPoint and Excel

Ability to think critically, problem solve, and provide work direction to others

Knowledge of basic computer operations

Strong organizational skills

Ability to prioritize work based on unit and program goals and objectives

Skills in producing and formatting documents, presentations, and reports

Ability to gather, organize and share information based upon a given set of criteria

Ability to coordinate and schedule events, book rooms, host Zoom meetings, set up virtual presentations and communicate with attendees

 

Required Education/Experience
 

  • High school diploma or some college and specialized education and three-four years office experience; or bachelor’s degree with one-two years office experience.
 

Preferred Education/Experience
 

  • Bachelor's degree with two-three years office experience
  • Knowledge of UTK’s fiscal policies and procedures
  • Experience using UTK’s Systems, including IRIS
  • Familiarity with distance education compliance issues
 

Salary range: $36,000 – $40,000
