Duties/Responsibilities:

The Department of Plant Sciences at the University of Tennessee’s Institute of Agriculture is seeking applications for a regular, full-time Administrative Support Assistant II. This position handles most communication for the Plant Sciences Business Office (including mail, packages, phone, walk-ins, etc.), provides clerical support to faculty and staff members, serves as the event coordinator for some programs, authorizes usage of certain department-owned equipment, as well as various other administrative duties as needed. This position will report directly to the department’s Business Manager. Duties include:

  • Serves as the receptionist: greeting visitors, answering the telephone, making appropriate referrals to faculty, staff, and all extension offices. Distributes visitor parking passes along with keeping and submitting a log for Facilities Services.
  • Schedules UTIA room reservations for all faculty and staff.
  • Schedules and maintains the reservation calendar for departmental vehicles, along with checking out keys daily. Facilitates check-out of departmental; projectors and laptops to staff members and submits inventory data every year.
  • Signs for, logs, and distributes packages and mail delivered from USPS, FedEx, and UPS, with special attention to instructions such as temperature requirements. Prepares outgoing mail. Verifies monthly FedEx charges.
  • Purchases all departmental supplies, including orders for several faculty and staff as requested. Orders paper and toner for the copy machine through UT Business Services and paces any service calls as needed.
  • Contributes multiple hours weekly to faculty members with special projects. Assists faculty and staff with any copying, faxing, scanning, and/or lamination projects. Performs specific clerical duties for the Tennessee Extension Mater Gardener Program.
  • Certain event planning duties including preparing flyers and email reminders, purchasing refreshments for weekly Plant Sciences seminars, and set up & clean-up of any special event speakers.
  • Tallying up results of evaluations from workshops, seminars field days, and special events for faculty through the department.
  • Various tasks assisting the Accounting Specialist, including posting and paying monthly OIT charges, paying monthly Airgas invoices.
  • Provides leadership for a program of activities that meets the needs of all eligible clientele regardless of race, color, national origin, sex, age, disability, religion or veteran status.


Qualifications
Minimum/Required Qualifications (include education, experience, skills & abilities, licenses & certifications):

  • Ability to organize and work on multiple projects, prioritize deadlines and follow up on processes.
  • Ability to communicate effectively.
  • Proficient in Microsoft Office and other basic computer skills.
  • High School Diploma or the equivalent
  • General office experience.
 

Preferred/Desired Qualifications:

  • Vocational or Technical training
  • Knowledge of UT databases (IRIS, Pinnacle, Ad Astra).
  • Knowledge of organization of the Plant Sciences Department, UTIA, and/or the ninety-five county Extension Office.
