Overview and Responsibilities

The Enrollment Retention Assistant will support college retention efforts through the U.S. Department of Education’s Higher Education Emergency Relief Fund (HEERF) authorized by the American Rescue Plan. The Enrollment Retention Assistant will work collaboratively with the Retention Specialist and Enrollment Services departments to support the re-enrollment process for students who are at risk of not completing their education as a result of the COVID – 19 pandemic. As a member of the Admissions team, this position reports to the Director of Enrollment Services.

 

Responsibilities:

  • Collaborate with the Retention Specialist and Enrollment Services departments to support target population with the process to reactivate their enrollment status and identify the appropriate placement within their program sequence.
  • Collaborate with other departments on student outreach initiatives to support enrollment of target population.
  • Collaborate with Academic Advisors to provide individualized advising support for targeted population.
  • Support daily functions in the Admissions office to support the enrollment process, including reviewing and processing applications, reviewing student status for program eligibility, determining appropriate catalog term placement, and processing supplemental documents to satisfy core program requirements.
  • Correspond with students regarding enrollment processes including, program eligibility, application status, program status, program requirements, enrollment deadlines, and paying for college resources.
  • Support enrollment processes that occur throughout the year, including confirmation of enrollment, core course eligibility, no show registration, in-process cancellations, and final high school transcript or General Equivalency Degree (GED) requests.
  • Collaborate with Admissions Lead to determine impact to program capacity.
  • Monitor third-party transcript exchange online platform to evaluate in-coming transcripts and accurately record required data in the Customer Relationship Management (CRM) system.
  • Assist students with the criminal background check process.
  • Monitor third-party criminal background check online platform to review background check orders, evaluate results, and accurately update required data in the CRM.
  • Investigate, resolve, and assist students and staff with enrollment concerns, application errors, duplicate applications and records, integration issues, holds, and respond accordingly.
  • Respond proactively to phone, email, chat, and text inquiries from students.
  • Provide detailed information regarding programs, explaining and clarifying admission criteria, enrollment requirements, application status, waiting list placement, projected start dates and accurate registration information to applicants, students, parents, agency and high school counselors, CVTC program directors, program advisors and staff.
  • Generate, interpret, monitor, and maintain Admissions reports.
  • Develop an in-depth working knowledge of CRM Recruit and the Banner modules related to functional area.
  • Provide excellent customer service and strategically engage with students in the admissions and enrollment process.
  • Identify and support solutions to business processes that enhance efficiencies.

  • Intermediate knowledge of and skills with technology including software programs for communication, data collection, and decision making including, but not limited to, Microsoft Office Outlook, Word, and Excel.
Qualifications
  • Associate degree in Administrative Professional, Professional Communications, or related field.
  • Minimum of two years of experience in customer service or professional office setting.

Chippewa Valley Technical College (CVTC) is part of the Wisconsin Technical College System (WTCS) and serves an eleven-county area in west central Wisconsin. CVTC offers 110 programs, 35 certificates, and customized training to an average of 140 businesses annually. CVTC has an outstanding placement rate, 95% of graduates are employed within six months of graduation, with 87% in a related field.
