Overview
Reporting to the director of learning and development, the learning and development program coordinator provides senior-level administrative support to various programs and learning initiatives offered through the Office of Human Resources in an effort to support the University’s mission and goals. The program coordinator supports, creates and implements strategies, solutions, and opportunities related to employee, manager and team learning and development, retention and engagement.
Responsibilities
Responsibilities include, but not limited to:
- Program, class and retreat administration and support
- Manage various administrative and programmatic functions for the HR centralized classes, Management Development Certificate Program, Excelling at Princeton Program and the Inclusion and Diversity Certificate Program, including
- Processing enrollment forms and tracking completionResponding to program inquiries and enrollee questionsCommunicating program requirements and key learning initiativesOrdering supplies, materials, and foodMonitoring inventory for class materials and suppliesBooking event space, equipment, class set up and breakdownCreating and sending class communications including class reminders, follow up communications and recommended learning resources
- Manage courses and learners in the LMS, including entering classes, generating class rosters, managing withdrawals and waitlists, updating attendance, sending communications and troubleshooting issues.Update data and run reports for use by senior leaders, departments, and program participants.Identify and recommend reporting enhancements based on program, learner and campus needs as well as process and program efficiencies.Participate in projects related to learning needs, systems and processes.
- Act as producer in virtual classes assisting facilitators with breakout rooms, monitoring chat, and other technological and logistical needs.Introduce speakers, make welcoming remarks, share best practices and provide instructions to groups in both virtual and in person classes and program events.
- Coordinate travel arrangements for external facilitators, consultants and presenters.Manage multiple internal and external vendor relationship, perform administrative responsibilities, address vendor needs and provide information requested.
- Process invoices and payments for facilitators, vendors, licenses, classes and programs.
Qualifications
Required Qualifications:
- Bachelor degree or equivalent work experience3 to 5 years of related work experiencePrevious experience with coordinating competing complex programs and initiativesStrong proficiency in MS Outlook, Word, Excel, PowerPoint and Zoom or equivalent virtual collaboration tools
- Experience facilitating classes and presenting workshopsExperience with or understanding of learning management systems (LMS)Experience with or knowledge of adult learning theoryAbility to develop and maintain websites
