The Office of Development (OOD) supports the goals and purposes of Stanford University. OOD staff members, working in concert with academic leadership and volunteers, strive to enhance, over the long-term, useful gift support to Stanford. Within this framework, we seek experienced candidates for a Project Manager to join the University Principal Gifts (UPG) team. The ideal candidate thrives in a fast-paced, dynamic environment and being part of a collaborative team. They must have excellent communication skills, enjoy working with a wide variety of people, and can multi-task and prioritize quickly and professionally in response to requests. This role requires complex navigation skills in ambiguous terrain, patience, flexibility, sharp attention to detail, and a high level of professionalism--including a superb level of tact and discretion.

Job Purpose:

The Project Manager will provide collaborative administrative support to fundraising programs and activities for the University Principal Gifts (UPG) team (primarily focused on securing gifts of $10M+). The Project Manager will support and enhance the success of the Principal gift development efforts for key University priorities and initiatives. This person will work with frontline fundraising staff, program directors, team members, other development colleagues, faculty, and volunteers to assist efforts to raise transformative philanthropy.

Your responsibilities include:
  • Assisting Principal Gift officers with their portfolio management of assigned prospects to cultivate, solicit, and steward their support. Such as:
    • Drafting and helping prepare polished materials, including: detailed donor visit briefings for senior academic leadership including the University President; complex agendas; background documents; and stewardship reports.
    • Bringing a strong eye for design to create and edit compelling presentation decks and fundraising collateral; experience creating high-level PowerPoint decks is highly preferred.
    • Assisting in research activities to inform strategies and stewardship for prospects and initiatives. Includes: retrieving and synthesizing donor and prospect information, updating records, and generating reports using Salesforce, Stanford's external relations database, and financial reporting systems.
    • Troubleshooting gift and payment issues, ensuring accurate donor record keeping, and driving complex administrative issues to resolution.
  • Providing thoughtful, nimble project and administrative support and responding to a wide variety of questions as needed. Including but not limited to:
    • Working under consultative and/or self-initiated direction to assess and produce relevant, custom information (reports, charts, graphs. and tables) from structured data sources to advance cultivation, stewardship, and fundraising strategies.
    • Ability to synthesize complex data quantitatively and qualitatively into reports and executive summaries. Strong abilities in Excel/Google Sheets preferred.
    • Reviewing and tracking funds, and reporting on use of gifts, as assigned.
    • Tracking and preparing detailed reports on program and data analytics.
    • Assisting in the planning and implementation of events and donor cultivation.
    • Assist in the planning and execution of volunteer-led initiatives of the principal gifts team.
    • May participate in development of budgets or oversee budgets and monitor and approve expenditures.

To be successful in this position, you will bring:
  • Bachelor's degree and three years of relevant experience, or combination of education and relevant experience.
  • Demonstrated ability to be highly proactive, and to prioritize own work and multi-task in a dynamic and somewhat ambiguous environment.

  • Demonstrated ability to take initiative and ownership of projects.

  • Valid California Non-Commercial Class Driver's License.


Physical Requirements*:
  • Constantly perform desk-based computer tasks in both remote and office-based setting.
  • Frequently stand/walk, sitting, grasp lightly/fine manipulation.
  • Occasionally use a telephone.
  • Rarely lift/carry/push/pull objects that weigh 11-20 pounds.

Working Conditions:
