The Electrical Engineering Department seeks a Graduate Admissions Specialist & Student Life

Coordinator to provide a wide range of administrative support for the Student Services Office. Reporting to the EE Director of Student and Academic Services, the Graduate Admissions Specialist & Student Life Coordinator serves as the contact for prospective applicants to the Electrical Engineering graduate programs. The position coordinates student life activities and is a key member of the 6-person Student Services team. Electrical Engineering is the largest graduate department in the School of Engineering at Stanford, with more than 60 faculty and more than 800 undergraduate, masters, and doctoral students. The department is consistently ranked in the top group of all electrical engineering departments in the nation.

Your responsibilities include
  • Review, maintain and track documents, including graduate study applications, supporting material and decision letters.
  • Research and resolve routine application issues.
  • Maintain and update CollegeNet and Peoplesoft databases, admissions websites, literature and associated materials. Prepare basic statistical reports.
  • Coordinate logistics for outreach activities, meetings and events, including PhD Admit Weekend, new student orientation, diversity weekend, PhD rotation program, department town halls, student-faculty lunches, student life events, department wellness week, and info sessions.
  • Serve as a resource and respond to routine inquiries from external applicants, students, faculty, and staff regarding admissions policies and procedures, enrollment and financial support.
  • Advise/train the leadership of student organizations on the proper use of funds and reimbursement procedures. Monitor organization expenses.
  • Train and direct activities of student and temporary workers.
  • Coordinate special projects as assigned by the EE Director.

Education & Experience
  • Associate's degree and one year of relevant experience, or combination of education and relevant experience. Bachelor's degree preferred.


Desired Qualifications
  • Previous student services experience highly desirable.


Knowledge, Skills and Abilities
  • Excellent written and verbal communications skills.
  • Basic computer skills, including proficiency with Microsoft Office Suite.
  • Proficiency with Peoplesoft and Oracle Business Intelligence reporting highly desirable.
  • Superior customer service and troubleshooting skills for interfacing with students, faculty and staff within the department and university.
  • Basic office administration skills, including attention to detail, being proactive, working independently and collaboratively, organization, time management and a demonstrated aptitude to manage a large volume of calls, emails and in-person inquiries in an environment with frequent interruptions.
  • Ability to learn compliance with legal, financial, and university policies and external regulations.
  • Must be available to work through the month of December (except on University holidays).

  • Constantly perform desk-based computer tasks.
  • Frequently sitting.
  • Occasionally stand/walk, reach/work above shoulders, grasp lightly/fine manipulation, grasp forcefully, use a telephone, sort/file paperwork or parts, lift/carry/push/pull objects that weigh up to 10 pounds.
