Administrative Associate 2, CEHHS Office of Advancement

Regular, Fulltime, Market Range 04

This position provides support for the Advancement Office in the College of Education, Health, and Human Sciences (CEHHS). It also serves as the Advancement Office contact servicing the CEHHS Dean’s office, eight (8) academic departments, and several centers, including all faculty and staff in the college (300+ faculty and staff members serving over 3,000 graduate and undergraduate students). The position plans and coordinates college advancement/development functions such as the Educators Hall of Honor, the Dean’s Board of Advisors’ Spring and Fall all-day meetings, the Student Awards Celebration, and many other smaller meetings and events throughout the year. Scholarship and gift agreement correspondence is maintained and kept current by this individual in order that they are awarded accurately and efficiently. This position is responsible for handling monetary gifts to the college and making sure they are applied to the appropriate designation, then running weekly reports for the Dean and monthly reports for each of the eight departments and to some centers.

This position will make recommendations to the Dean of the College of Education, Health, and Human Sciences and the Director of Advancement for annual events, semi-annual events, and local events to be held for staff, faculty, students, donors, prospective donors, and alumni. Negotiating with hotels and caterers for six major special events annually and committee meetings during the year are a part of this role. In addition, this individual will create invitations, programs, and holiday cards, making sure they are printed and mailed to donors in a timely manner. Further, this role is also responsible for: creating and compiling the materials for the Dean's Board of Advisors twice a year, researching donations, scholarships, fellowships, creating criteria sheets, updating ANDI entity details, filing travel in IRIS, researching fund balances in IRIS, maintaining scholarship and fellowship files, Dean's Board of Advisors files, directory, contact information, maintaining historical materials and information regarding the college, submitting invoices to bookkeeping with proper approvals, ordering office supplies, and other regular office duties such as, answering phones, opening and distributing mail, and keeping the Director and Annual Giving Coordinator informed.

This position requires excellent oral, written, and interpersonal skills. Must be able to work independently, organize, plan, supervise, and prioritize; must be able to multi-task and be flexible and adapt easily to constant change; must maintain confidentiality and professionalism in all aspects of the position.



Qualifications
Position Requirements:

Education

  • High school diploma or GED required; Associate’s Degree or Bachelor’s Degree preferred.
Required Level/Type of Experience

  • 3-5 years office experience and a working knowledge of interaction with the public, providing information, and customer service; an extensive knowledge of computer programs such as MS Word, Excel, PowerPoint, Publisher, Outlook, and database systems such as ANDI/IRIS; experience with handling event planning and arrangements, travel arrangements, collecting donations and proper accounting and designation.
Preferred Level/Type of Experience

  • 2-3 years of business training and work experience in a university advancement/development.
Needed Competencies/Qualifications

  • This job requires the ability to work independently and make common-sense decisions to preserve and promote the goals of the Dean of the college and the Director of Advancement with little or no instruction and supervision. It requires the skill of interacting with others in authority with respect, diplomacy, and support as required. It requires the skill of performing research, coming to conclusions, and relaying those conclusions in a concise manner that satisfies inquiries from the Dean, Director of Advancement, Department Heads, Dean's Board of Advisors, other administrative personnel, faculty, and donors. It further requires the knowledge of how to organize, maintain, and reference information held internally, how to access information held in databases, and what other options are available.  Excellent oral, written, and interpersonal skills are necessary.
