Administrative Specialist I - Modern Foreign Languages & Literature

The Department of Modern Foreign Languages and Literatures invites applications for the position of Administrative Specialist I: Travel Administrative Assistant. This position provides administrative support and expert guidance to over 100 faculty, students and visitors for domestic and international travel.  In addition to being knowledgeable about all aspects of travel and reimbursement at UT, the AS I must communicate effectively with diverse constituencies internally and externally. This position also provides administrative support to the Department Head, other unit administrators and the Business Manager in key areas of academic unit operation for a large, aspirational and diverse unit.

Duties/Responsibilities: Travel

• Process travel requests, reimbursements, travel card expenses and pre-paid registrations in Concur

• Maintain Excel spreadsheet of travel expenses throughout year

• Track SARIF and other funding requests 

• Assist customers in policy and processing of travel

• Coordinate with Graduate Director and students for GSA awards

• Secure University vehicles for local and regional travel

• Process travel for various unit undergraduate awards

Duties/Responsibilities: Administrative Support

  • Provide advice and assistance to 45 lecturers on matters of annual review, assembling promotion dossiers, all lecturer-related needs and activities
  • Perform classroom and logistical support (classroom materials, etc.) for French and Spanish, MFLL’s two largest language programs
  • Serve as backup for Business Manager in processing invoices, ledgers, petty cash, internal transfers and procurement card reconciliation
  • Design, compile and maintain distribution lists for newsletters and listservs
  • Support the Department Head in acknowledging donations monthly
  • Monitor and maintain office supplies and order additional items as needed
 



Qualifications
Minimum requirements

  • H.S. diploma with 2-3 years administrative or office experience.
Qualifications: Knowledge, skills, abilities

  • Excellent communication and interpersonal skills
  • Excellent command of Microsoft Office, Outlook, Word, Excel, Adobe, etc.
  • Attention to detail
  • Strong organizational skills
  • Strong listening skills
  • Excellent time management, ability to multi-task, and flexibility
  • Strong front-office skills and ability to represent a diverse and creative unit
  • Excellent typing skills
Preferred requirements

  • Vocational business office training or some college
  • Experience working with travel and personnel
  • 2 years experience in an academic setting, working directly with professors and students
Qualifications: Preferred knowledge, skills, abilities

  • Good working knowledge of IRIS and Concur
  • Familiarity with or ability to master UT travel policy and procedures
  • Ability to interact professionally with diverse faculty, staff, students, visitors
  • Ability to work independently
