Consults with team on all details regarding events and event planning.
  • Contributes to and participates in long-range admissions event planning, including number of recruiting events needed and locations.
  • Manages calendar of all recruiting events, such as information sessions, industry-related events and identifies ways to attract diverse candidates.

Plans, organizes and identifies real and potential event locations and vendors.
  • Demonstrates good judgment in making decisions and managing events at various locations across the Bay Area and other US markets.
  • Manages event attendance and recruitment marketing communications for events and deadlines and assists with other marketing and admissions duties as needed.

Manages contract negotiation for venues, catering, and other event logistics.
  • Manages all event related transactions and purchasing: EPC and bluCard, travel reimbursements, event swag and supply purchases, etc.
  • Supports planning and execution of other events which may include: online events such as webinars or chats, campus visitation program, Haas holiday party, staff farewell parties, etc.
  • Maintains accurate and up to date budgets for events.
  • Develops strong working relationships with hotels, catering staff and other vendors.

Determines and coordinates staffing needs, particularly as it relates to alumni and student participation.
  • Works with staff to recruit student/alumni panelists that represent different geographic locations, industry/function and diversity.
  • Works with staff to define event parameters and communicates with faculty, the dean or other staff members as needed.
  • Creates and organizes team staffing events through clear and collaborative communication planning and documentation.

Supports management of alumni volunteer and event database, and partners with the team to ensure contact records are up-to-date.
  • Liaison with Alumni Relations to determine best alumni to use for various events including Keynote Speakers, Industry Specialists and then keeps detailed record of their contact information and updates annually.
  • Ensures that the right balance of prospective students, current students, staff and alumni are in attendance at recruiting and yield events.

Develops, implements, and maintains detailed records of event budgets, attendance, mailers, etc.
  • Evaluates and analyzes events and other projects for effectiveness. Uses information to improve ongoing and future events.
  • Organizes event briefs to share with staff and solicits feedback on events from all attendees, including prospective students and staff.
  • Actively uses Slate platform to keep database records accurate and up to date.

Ensures smooth-running, effective events, including successfully recognizing and resolving potential and real problems in a timely manner using tact, sensitivity, discretion and political acumen.
  • Uses strong interpersonal and communications skills to coordinate people attending events in a calm and confident manner.
  • Maintains a flexible mindset should things such as location or size of events need to change at the last minute with little notice.

Required Qualifications
  • Thorough knowledge and understanding of concepts, principles and practices of event planning and public relations, including event design, organization and production. Skills planning and running events, including drafting event concept through to executing run of show.
  • Thorough knowledge of or the ability to learn quickly the campus, its vision, mission, programs, policies, achievements and infrastructure. Knowledge of or the ability to learn quickly University policies and procedures relating to the use of University facilities, event management and presentation. Knowledge of MBA programs in general and experience with recruiting events.
  • Demonstrates good judgment in making decisions and managing events. Skill in effectively meeting budget and time constraints. Skills in analysis, assessing ROI of events and measuring effectiveness.
  • Demonstrated organizational and project management skills to work successfully with team to produce high quality events that meet team needs and appropriately represent the campus for recruiting events. Skills to provide excellent customer service. Must be comfortable with competing priorities, maintaining composure under pressure at times when many events are scheduled each week.
  • Highly developed communication skills including political acumen and social perceptiveness. Excellent verbal and written communication skills to effectively communicate with diverse populations with competing priorities. Skills in drafting correspondence to boost event attendance. Strong interpersonal communication skills in providing feedback when necessary during post-event review sessions.
  • Highly developed judgment, decision-making and problem recognition / avoidance / resolution skills, including skill in determining those issues / problems that need to be brought to management's attention.
  • Knowledge of principles and practices of volunteer recruitment, supervision, motivation and evaluation.
  • Proven ability to work on several tasks simultaneously. Skill at responding effectively to priorities and setting deadlines.
  • Experience maintaining a high standard of productivity within a broad scope of responsibility despite frequent interruptions. Ability to complete large volume of diverse tasks efficiently, meeting established deadlines.
  • Ability to effectively work with invited guests, students, alumni and university VIPs, including faculty and Dean as well as guest speakers.
  • Knowledge of crowd management, crowd safety protocols, security and emergency procedures related to small, medium and large scale gatherings on campus or the ability to learn quickly.
  • Ability to give clear directives and use independent, rational judgment to make optimal decisions.
  • Knowledge and skill to set and monitor work standards and protocols, including design standards set by the school.
  • Excellent interpersonal skills, demonstrating a desire to promote diversity, equity, inclusion and belonging to establish and maintain positive & professional working relationships with colleagues, students and team members.

  • Bachelor's degree in related area and / or equivalent experience / training.

Salary & Benefits

This is an exempt, monthly paid position. Annual salary is commensurate with experience, within the range of $74,650.00 - $88,500.00.
