Position Description:
Under the direct supervision of the Manager, the Undergraduate Student Affairs Officer (UG SAO) oversees all undergraduate student affairs in the Department of Spanish & Portuguese with primary responsibility of approximately 600 undergraduate students in 5 majors and 4 minors. The UG SAO will work closely with faculty, administrators, staff, teaching assistants and graduate students, and undergraduate students to ensure the undergraduate program and department scheduling functions effectively and efficiently.

Responsibilities include academic/personal advising, scheduling and enrollment, alumni relations, and programmatic and outreach needs. Advising: Provide counseling and advice to prospective, new, and continuing students on degree requirements, time to degree, scholastic difficulty, student and post-graduation opportunities; serve as the staff representative on the Undergraduate Affairs Committee; assist with disseminating results for the Language Proficiency Exams. Scheduling: Oversee course scheduling for the department, maintain a detailed and comprehensive master scheduling spreadsheet, and provide strategic recommendations to faculty/staff leadership to offer a schedule that fulfills student need and timely completion to degree. Events and Outreach: Organize and execute department events, such as commencement, workshops, travel study abroad information sessions; create and distribute flyers on events and programs; utilize website, social media, and newsletters to highlight department news/opportunities and bring more visibility to department programs.

The UG SAO will collaborate with the Graduate SAO on joint projects, scheduling, events, outreach, and student affairs related tasks.

The UG SAO is responsible for independently prioritizing and completing ongoing tasks following established departmental guidelines and university policies, and exercising judgment and creativity to identify problems, interpret and establish efficient policy and procedures, recommend and implement solutions, and meet operational goals of the Department.
