Scope of Job:
Manages, plans, and oversees support operations for University sponsored and related events. Responsible for creating, managing, and executing all aspects of a University-wide meeting or special event by providing strategic and programmatic consultation to university departments and sponsors.


Description of Duties:
• Manages the strategy and planning of meetings and/or special events for the University.
• Responsible for serving as primary contact for University-wide events and providing accurate reporting for event logistics.
• Develops and maintains appropriate records and other required documentation for all events.
• Organizes services for events, including accommodation and transportation for participants, facilities, catering, signage, displays, special needs requirements, printing and event security, as applicable.
• Develops and recommends event operating procedures.
• Negotiates and reviews contracts with service providers.
• Organizes committees, assigns responsibilities, develops schedules and determines resources needed for University-wide events.
• Establishes and monitors event budgets, and evaluates events upon completion for return on investments.
• Ensures completion of detailed schedules for events from implementation to delivery.
• Supervises status of events including cost, timing, and staffing.
• Develops and approves design layout.
• Responsible for development and supervision of the design, editing, and production of programs, promotional materials, and other related publications.
• Designs and produces event programs, agendas, and services according to requirements.
• Monitors event activities in order to ensure compliance with applicable regulations and law, satisfaction of participants, and resolution of problems that arise.
• Arranges the availability of audio-visual equipment, transportation, displays, and other event technical needs.
• Handles administrative details such as financial operations, dissemination of promotional materials, and responses to inquiries regarding event.
• Hires, supervises, and evaluates temporary assigned staff.
• Coordinates the direction and provides oversight for the planning of university events, meetings, workshops, and conferences that showcase institutional programs and services that highlight the mission and values of UTRGV.
• Provides recommendations for policies and procedures as they pertain to the area.
• Performs other duties as assigned.


Supervision Received:
General direction from the assigned supervisor.

Supervision Given:
Direct supervision of all assigned staff.

Required Education:
Bachelor’s degree from an accredited university.

Preferred Education:
Bachelor’s degree in Business Administration, Communication, Marketing, Journalism or related field from an accredited university.

Licenses/Certifications:
N/A

Required Experience:
Three (3) years of experience coordinating multiple projects, in event marketing or planning, or related area.


Preferred Experience:

Equipment:
Use of standard office equipment.


Working Conditions:
Needs to be able to successfully perform all required duties. Office Environment; some travel and weekend work is required.


Other:
Excellent communication and interpersonal skills with a high degree of professionalism and competence in working with a variety of individuals. Ability to lead and motivate event teams and volunteers. Ability to work independently and willingness to take initiative.

A New University with a Long History

The University of Texas Rio Grande Valley was created by the Texas Legislature in 2013 in a historic move that brings together the resources and assets of UT Brownsville and UT Pan American and, for the first time, makes it possible for residents of the Rio Grande Valley to benefit from the Permanent University Fund—a public endowment contributing support to the University of Texas System and the Texas A&M University System.

 

Our new university will also be home to a School of Medicine and will transform Texas and the nation by becoming a leader in student success, teaching, research, and health care. UTRGV will enroll its first class in the fall of 2015, and the School of Medicine will open in 2016.

 

UT Brownsville and UT Pan American

The shared history of The University of Texas Pan American and The University of Texas at Brownsville goes back to 1927, when Edinburg College was founded. In 1973, Pan American opened a second campus in Brownsville, which later became an independent institution of The University of Texas System in 1991. Over the years, the missions and the identities of these great institutions have continually evolved to serve the communities of the Rio Grande Valley.

Now, the evolution and connection between these two institutions is coming full circle as UT Brownsville and UT Pan American are being established as a single, new university and medical school, with a single, new identity—The University of Texas Rio Grande Valley.
