Job Description Summary

This position is responsible for the day-to-day functions and processes necessary for student new hires at BYU-Hawaii. Maintains audits and keeps accurate information in PeopleSoft database and includes close communication with departments and the technical aspects of data entry and collection.

Student Employment Processing, Verification, Payroll Functions

(a)Informs students of new hire orientations on a daily basis and ensures that newly hired student employees are familiar with the use of the Time & Labor timekeeping system; (b)ensures that all student employees have a social security number or social security application receipt; (c) coordinates and works to resolve payroll discrepancies each pay period and other payroll functions with Financial Services as needed; (d) oversees auto-termination process for student employees and ensures that students are terminated in a timely manner; (e) generates student employment reports for departments as needed; (f) provides information to applicants and departments regarding application process, employment policies, and employment deadlines; (g) prepares letters of employment verification within 24 hours of request; (h) ensures that all student employment forms are up-to-date and accurate; (i)Conducts IWork and RA Orientations each semester; (j) ensures that the Student Employment website is accurate and up-to-date, advertises off-campus positions and keeps the outside display post board updated; (k) assists departments with PeopleSoft Time & Labor questions.

Documentation Verification and Maintenance of databases

(a)Checks and verifies information on all documents and forms submitted by students seeking employment for accuracy and completeness which include verification of social security numbers; (b) enters hiring and position numbers on all student hires; (c) coordinates and works to resolve payroll discrepancies each pay period and other payroll functions with Financial Services as needed; (d) oversees and manages all student employment files for accuracy; (e) checks and verifies information of all documents and forms submitted by departments via Workday for student employment hiring for accuracy and completeness and enters new hires, position information into Workday (f) ensures accurate data entry for deductions, exception checks, etc. and performs periodic self-audits on I-9, files, documents, payments, 19 hours/week violations, FICA updates, credit check, etc.

Supervision and Other Tasks

(a) Provides excellent customer service at the student employment window; (b) trains student employees on phone etiquette and day-to-day operations of Student Employment area; (c) reviews and spot checks student employees work for accuracy and appropriate database entries; (d) attends meetings and participates in special committees related to student employment as assigned; (e) interviews and hires new student employee student clerks as needed; (f) reviews Student Employment new hire orientation videos and ensures that the videos are updated and accurate; (g) other tasks as assigned.
