Occupational Summary

Perform responsible administrative and sec retarial duties of a complex and confidential nature in support of the D ivison of Medical Genetics to relieve 8 faculty of varied clerical and a dministrative responsibilities andto maintain efficiency in organizatio nal operations.

Work Performed

Screen and route mail and doc uments; determine which to respond to or which to bring to faculty's att ention based on content of communication and broad knowledge of departme ntal programs and activities. This position would supportthe 8 faculty members as well as 2 research labs.

Support the execution of a bia nnual Pompe Conference, including communicating with vendors and sponsor s, tracking registrations, helping to construct and distribute conferenc e materials, and setting up space reservations.

Organize and maint ain divisional or departmental files of records, reports and corresponde nce required for reference and efficient operation of division or depart ment; maintain up-to-date management and procedural manuals, directives and related records; interpret new directives, policies and regulations and inform appropriate personnel of changes.

Assist in preparing c omplex reports and proposals requiring the identification of sources, co mpilation, analysis and evaluation of data.

Review reports receive d for supervisor; check and compare with source documents andbringsign ificant items, changes, errors or omissions to the attention of the supe rvisor.

Assist in the preparation of complex and diversified depar tmental or divisional budgets making recommendations and projections bas ed on knowledge of program activities and departmental operations.

Compose letters and statements independently requiring interpretation a nd application of departmental policies, procedures, rules and regulatio ns.

Take and transcribe dictation; type letters, reports and recor ds ensuring grammatical accuracy, conformance with general policy and fa ctual correctness.

Schedule and coordinate arrangements for semina rs and conferences and establish appointments, meetings and speaking eng agements for supervisor; attend meetings to take minutes, provide inform ation and serve asaresource person; interview callers; answer question s concerning departmental or divisional activities and transmit instruct ions and/or information to and from staff members; serve as liaison with administrative personnel and external agencies concerning University po licies and procedures, grant administration and budgetary preparation an d control.

Advise and direct secretarial, clerical or other person nel in the department or division; make work assignments and review work for accuracy and completeness. Performother related duties incidental to the work described herein.

Required Qualifications at this Level

Education/Training: Work requires a broad knowledge of clerical and accounting principles and pra ctices normally acquired through two years of post-secondary education i n secretarial science or a related business field.

Experien ce: Work generally requires three years of related secretarial/clerical experience to acquire skills necessary to administer complex office func tionsrelated to office management, communications, and budgetary/accoun ting activities. OR and equivalent combination of education and relevant experience.

Duke University was created in 1924 by James Buchanan Duke as a memorial to his father, Washington Duke. The Dukes, a Durham family that built a worldwide financial empire in the manufacture of tobacco products and developed electricity production in the Carolinas, long had been interested in Trinity College. Trinity traced its roots to 1838 in nearby Randolph County when local Methodist and Quaker communities opened Union Institute. The school, then named Trinity College, moved to Durham in 1892, where Benjamin Newton Duke served as a primary benefactor and link with the Duke family until his death in 1929. In December 1924, the provisions of indenture by Benjamin’s brother, James B. Duke, created the family philanthropic foundation, The Duke Endowment, which provided for the expansion of Trinity College into Duke University.Duke Campus

As a result of the Duke gift, Trinity underwent both physical and academic expansion. The original Durham campus became known as East Campus when it was rebuilt in stately Georgian architecture. West Campus, Gothic in style and dominated by the soaring 210-foot tower of Duke Chapel, opened in 1930. East Campus served as home of the Woman's College of Duke University until 1972, when the men's and women's undergraduate colleges merged. Both men and women undergraduates now enroll in either the Trinity College of Arts & Sciences or the Pratt School of Engineering. In 1995, East Campus became the home for all first-year students.
