The Program Manager and Course Coordinator exists in order to enable students to study abroad or to have an international experience as an integral part of their University of Colorado (CU) Boulder academic career. Responsibilities include managing a portfolio of Education Abroad (EA) programs, advising students on program options, preparing students for a term abroad, and providing health and safety support. This position coordinates the processing and tracking of all education abroad transcripts and course approvals. Transcript and course approval coordination requires extensive knowledge of School and College academic requirements, the academic components of education abroad programs, course policies, and careful use of uAchieve and CU’s degree audit system. The position is expected to further the strategic goals and mission of CU Boulder and of Education Abroad, and to contribute to the University's Inclusive Excellence goals.

Who We AreEducation Abroad is a unit within International Education in the Office of Undergraduate Education within the Division of Academic Affairs, at the University of Colorado Boulder. The mission of this unit is to develop, operate, and maintain a comprehensive portfolio of education abroad programs for CU Boulder students and academic units, including study abroad, international student exchanges, international internships, faculty-led Global Seminars and Global Intensives, and international research and service-learning. The unit is responsible for health and safety and risk mitigation for students going abroad on CU Boulder sponsored programs and is responsible for campus support for the International Travel Registry. What Your Key Responsibilities Will BeManage a Portfolio of Education Abroad Programs
  • Be responsible for and manage a portfolio of assigned EA programs.
  • Work with program partners, students, and campus partners.
  • Coordinate with overseas or U.S. partner institution colleagues on academics, logistics, cultural issues, and health and safety. Admit and prepare students. Remain knowledgeable about health and safety issues for relevant countries. Provide pre-departure support and information to students.
  • Prepare annual program evaluation report for EA Director.
  • Collaborate closely with campus partners and relevant academic departments and advisors. The portfolio could include third-party provider programs, student exchanges, and faculty-led programs (Global Seminars).
Study Abroad Advising
  • Advise students about opportunities for study abroad by meeting individually with students either via drop-ins or Zoom.
  • Determine their interests, qualifications, and needs, and direct them to appropriate programs.
  • Advise students about the academic, cultural, logistical, and practical aspects of programs/locations.
  • Maintain excellent knowledge of all programs within a regional area. Remain informed about relevant CU Boulder campus policies.
  • Take phone calls from students and parents; follow FERPA regulations. Follow all relevant office procedures (i.e. TDS procedures, communication with the front desk, referrals to others when vital).
  • When requested and when possible, provide backup advising during busy times outside of scheduled hours, or when other staff cannot take their advising shift.
Education Abroad Transcript Processing
  • Maintain detailed and accurate tables in uAchieve to track course offerings abroad and campus approvals.
  • Process transcripts in uAchieve in a timely manner.
  • Ensure credit earned abroad course approvals are appearing correctly in students’ Degree Audits.
  • Collaborate with Admissions and the Registrars Office to make certain that Education Abroad’s processes and policies align with CU’s.
  • Partner with Program Managers on any issues/questions and ensure high accuracy while working in a sophisticated system (uAchieve Client).
  • Collaborate closely with students, academic advisors, and faculty as necessary to answer questions about course approvals and the status of their requests
  • Be alert to any trends with certain programs or courses and notify the relevant Program Manager and/or Education Abroad Assistant Director and Manager of Academics & Curriculum Integration with any concerns.
  • Identify problems early and proactively find solutions including:
    • errors in technical interfaces within uAchieve and the Degree Audit, the Education Abroad course approvals list, DocuSign course evaluation routing systems, etc,
    • irregularities in individual Education Abroad program’s courses, and/or
    • irregularities in departmental course evaluations and approvals.
  • Work with students in extenuating and time-sensitive circumstances regarding course evaluations, urgent transcript processing, etc. to ensure that transcript processing procedures do not delay graduation.
Course Tabling Coordinator
  • Serve as a primary staff member for tabling (entry) of courses when approved for various degree requirements in the uAchieve client including departmental approvals across all of CU’s schools, colleges, and programs as well as A&S General Education and MAPS requirements.
  • Ensure that information is entered correctly and that all decisions are clear. Mistakes can result in problems with students’ graduation status, so accuracy is critical.
  • Work closely with the Assistant Director regarding problems, trends, etc.
  • Know university requirements on tabling courses and how to apply them to approvals, which in turn requires a basic understanding of the CU curriculum and various majors.
  • Collaborate with the Curriculum Evaluation and Articulation Unit (CEAU), academic advisors, and faculty evaluators as needed for clarification on approvals, processes, unique student situations, etc.
  • Maintain the integrity of EA’s course and student data.
Course Evaluation Coordination
  • Manage the A&S Core/Gen Ed and MAPS course evaluation and request process.
  • Work with the Assistant Director on administering major/minor/certificate approval process and course evaluations.
  • Build and table courses and approvals in uAchieve as evaluations are completed and advise students of these evaluation decisions. Follow up with students and/or departments when there is more information needed.
  • Ensure a high degree of accuracy with all data entry and keep a clear electronic trail of records.
  • Work with uAchieve managers on campus to report any problems or request updates to institutional profiles.
What You Should KnowTraining for this position will be conducted in person on campus.   • Bachelors degree from an accredited institution of higher education.
  • A demonstrated significant intercultural experience, and/or overseas life/work experience.
  • At least two years of professional experience in an education abroad office or in student services and/or academically-focused department within a large public university, demonstrating progressively responsible professional work.
What You Will Need
  • Demonstrated rapport with university students.
  • Outstanding oral and written communication skills.
  • Excellent computer and technology skills.
  • Must be capable of traveling outside the U.S.
  • Detail-focused and accurate.
  • Proficiency in Excel, Sharepoint, Word, Outlook, Microsoft Teams, and DocuSign.
  • Proficiency in large database systems and/or CRMs.
  • An understanding of a large public research institution’s academic programs, degree requirements, etc.
  • A comprehension of education abroad programs, processes, and academics.
What We Would Like You To Have
  • Experience as a participant in an undergraduate study abroad program.
  • Experience working in the uAchieve client.
  • Foreign language experience.
  • Familiarity with the University of Colorado Boulder.
