Departmental Overview

The College of Engineering at UC Berkeley is recognized for its education and research excellence, consistently ranking among the top three Engineering colleges in the United States. With more than 220 regular faculty members, 1,600 graduate students, and 2,700 undergraduate students located in seven academic departments, Engineering is the second largest college on the Berkeley campus. A multiunit Dean's office provides administrative, student services, development, and capital projects services. COE occupies ten buildings on the Berkeley campus, five rental buildings in Berkeley and has extensive facilities at the Richmond Field Station.

This Off-site Facility Coordinator involves the management, long-range planning, organization, coordination, oversight and / or performance of multiple operational activities and services for one or more buildings, including space planning, general maintenance, specialized facility systems and operations, call center triage and tracking of repair services, move planning and coordination, development of procedures, policies and communications related to infrastructure and safety.

Responsibilities

70%
  • Act as BAIR liaison with vendors such as DIRTT and One Workplace.
  • Coordinate BAIR renovations and repairs on the BWW 8th Floor.
  • Point of contact for residents with issues pertaining to onsite maintenance (building issues, ventilation, plumbing , electrical, data, custodian, and security issues).
  • Coordinate with BWW Building Manger regarding occasional BAIR use of BWW loading dock for access and equipment.
  • Liaison between faculty and Human Resources to identify available seating and maintain updated seating charts.
  • Point of contact for custodial service requests. Initiate/follow-up service requests. Create and maintain schedule for deep cleaning services.
  • (floor waxing, carpet cleaning, window/duct cleaning).
  • Create and maintain a system for cardboard and large-item waste collection and removal.
  • Manage BAIR 8th Floor inventory control using BETS.
  • Coordinate campus mail delivery, assist with sorting and delivering mail to individual faculty and research groups.
  • Coordinate with BWW building manager receiving and distribution of packages and large equipment deliveries; liaison with delivery services such as FedEx and UPS, etc.
  • Manage equipment removal requests through campus Excess and Salvage.
  • Assist with coordinating communal kitchens including: ordering cleaning supplies; requesting vendor machine serving/maintenance; basic troubleshooting of kitchen equipment; monitoring cleanliness of multiple refrigerators.
  • Manage electronic Welcome screens located in lobby: set up and maintain system including content, volume, captioning, etc.
  • Manage meeting rooms including installed tech hardware; electronic room calendars; Zoom hardware and connections; manage other issues related to these rooms.
  • Assist with event management in multi-purpose conference rooms including set up and clean up (chair layout, room, layout, etc.); recording events; reservations; and other logistical aspects such as connecting event to welcome screens. Act as liaison coordinating with nearby rooms to avoid possibilities of noise pollution/disruptions to event and recording.
  • Develop order and maintain signage. Work with vendors to order and install new department, direction and safety signage.
  • Manage storage room; organize shelves or other equipment and supplies; manage inventory and place supplies orders; oversee installation of shelving, etc.

  • Serve as the “Access Key Controller" for assigned facilities as defined by the UCPD Campus Access Control Policy, maintaining accurate records of all access control activities, ensuring appropriate authority prior to issuing keys, ordering replacement keys as needed, recovering department keys from departing personnel, reporting any failure to recover access control keys to department management and UCPD, manage the petty cash system for key deposits, and securely storing unassigned keys in the department's UCPD-approved cabinets.
  • As a key and card/key access controller for assigned departments and buildings in the College of Engineering, the incumbent oversees all aspects of processes, policies, and procedures such as ordering and distributing keys, maintaining inventory, and record keeping. Enters cardkey access information with UCPD.
  • Maintain and keep records for Trilogy lock accesses in assigned COE Buildings.
  • Video Camera Surveillance Systems: Review camera system operation on a weekly basis to ensure that system is operating and recording as designed.
  • Advise, guide and instruct individuals approved for access to a COE facility in the areas of access codes, report generation, monitoring accesses, programming schedules for auto lock doors and elevators, and resolves access control issues.

  • Acts as Building Coordinator or College Liaison for campus emergency/ disaster preparedness for assigned venues, serves as the communication liaison between campus service agencies and building occupants, and prepares building response plans and coordinates education and planning in this area for all building occupants.
  • Act as first point of contact for assigned facilities on safety matters. Serve as liaison with various campus offices such as Facilities Services, Office of Emergency Preparedness, Environmental Health & Safety, and UC Police Department. Report building maintenance problems to appropriate campus office (custodians, lock shop, etc.). Follow through and notify building occupants of actions and proposed actions. Attend campus building coordinator and safety meetings and workshops. Maintain up-to-date Building Emergency Plan (BEP), evacuation plans, signage, and first aid kits. Provide training for new and ongoing employees in BEP and related matters. Organize and lead safety committee meetings on a regular basis.
  • Serves as Building Safety Coordinator for assigned College of Engineering Off site facilities. Prepares and disseminates Emergency Preparedness Plan. Schedule training sessions for COE Faculty, Staff & Students as well as new hires in assigned venues.
  • Conducts regular periodic rounds to inspect specified areas of concerns for security, fire and accident hazards and takes appropriate action as required, including reporting infractions of fire and building codes, building rules and other building irregularities to management.
  • For assigned facilities, responsible for compliance with OSHA/EH&S regulations regarding state and campus policies and procedures, and works to implement safety and emergency preparedness policies and procedures with staff, including maintaining first aid supplies, fire extinguishers and other safety equipment.

  • Work with staff assigned to space and building management to address any facility related issues.
  • Oversee and manage floor and building card key access system.
  • Oversee and manage hard key inventory system.
  • Assist COE tenant groups with furniture or renovation related projects.
  • Assist COE tenant groups with space planning and assignments.
  • Monitor and assist COE tenant groups with Safety training and emergency evacuation procedures.
  • Liaison with tenant groups, COE Assistant Dean and Campus Real Estate office regarding lease renewals, extensions and renovations.

5%
  • Work with Fung Building Managers (BM) and leadership staff to address any facility related issues.
  • Assist Shires and Mudd Hall BM's with managing card key and hard key access system.
  • Assist Fung Institute with furniture or renovation related projects.
  • Assist Fung Institute with space planning and assignments.
  • Monitor and assist Fung Institute with Safety training and emergency evacuation procedures.
  • Liaison with Fung Institute, COE Assistant Dean and Campus Real Estate office regarding lease renewals, extensions and renovations.
  • Work with SCET Building Managers (BM) and leadership staff to address any facility related issues.
  • Assist SCET as needed with managing card key and hard key access system.
  • Assist SCET as needed with furniture or renovation related projects.
  • Assist SCET as needed with space planning and assignments.
  • Monitor and assist SCET with Safety training and emergency evacuation procedures.

Required Qualifications
  • Thorough knowledge in the areas of building space planning, codes, capacity, security, fire safety, organization and departmental principles and procedures involved in risk assessment and evaluating risks as to likelihood and consequences.
  • Strong interpersonal and communication skills.
  • Thorough interpersonal skills including good service orientation and effective problem solving.
  • Knowledge of architectural or engineering concepts.
  • Thorough and effective skills to multi-task and prioritize daily activities effectively.
  • Proficient experience with Microsoft Office Suite (incl: Word, Excel & Power Point).
  • Preferred Two - five year's experience with practices and procedures relating to facility maintenance.
  • Preferred Two - three year's experience in practices and procedures related to safety and emergency preparedness.
  • Skills to work under pressure of deadlines in a stressful environment.
  • Ability to work on multiple projects with competing deadlines, to establish goals and workload priorities, and to meet project deadlines within budget and time constraints.
  • Written communication skills to prepare a variety of correspondence, reports, policies and procedures, and training documents.
  • Strong Active listening, interpersonal communication and problem-solving skills to effectively resolve questions, concerns, issues or problems in a diplomatic manner.
  • Ability to work with a broad range of individuals at all organizational levels to ensure cooperative and productive working relationships.
  • Skills to work independently and as part of a team.
  • Valid California driver's license

Preferred Qualifications
  • Bachelor's degree in related area and / or equivalent experience / training.
  • Certificate in Facilities Management.
