The University Administration Payroll Office is responsible for paying over 1.1 billion dollars in salaries and wages to over 34,000 employees
per year, including over 1,500 foreign nationals. The Administrative Coordinator I position is responsible for assisting foreign
national employees enter the required information in the Glacier Nonresident Alien Tax Information System. Glacier helps determine the appropriate tax treatment of nonresident alien employees for both Federal Income and Social Security/Medicare taxes. The position is also responsible for overseeing the longevity payroll processing, balancing and remitting funds to retirement plan vendors,entering payroll Automated Clearing House (ACH) payment and debits, and for processing travel and purchasing supplies for Payroll Officer personnel.

The position is responsible for the ACH and wire transfers made by the Payroll Office. These include balancing the direct deposit file for each payroll and sending the file to First Tennessee Bank so the funds can be distributed to employees' bank accounts on payday. The position also enters debit
memos to retrieve funds from overpaid employees. The position also retrieves funds from the bank accounts of entities leasing UT employees, including the UT Medical Center Knoxville, the UT LeBonheur Pediatric Specialist Group, the University of Tennessee Foundation, and the UC
Foundation. As part of this function, the position also maintains the the table of banks used for direct deposits.

The Administrative Coordinator I is responsible for the balancing and remittance of funds to the Optional Retirement Plan vendors, the University LeBonheur Pediatric Specialist retirement plan, and the 401(k) and 457 deferred income plans. This involves reconciling the amounts remitted with the payroll results and entering the ACH payments on the First Tennessee website. Some of these are remitted with every payroll and some are remitted once a month. The position also works with the Director in correcting errors on the submission of salaries and contributions/deductions to the State of Tennessee's legacy and hybrid pension plans.

Qualifications
Qualifications

Required: A high school diploma is required. Advanced degrees are preferred. Ten years of payroll experience and experience using the human resources module of an ERP/HRIS system is also required. 

Additional requirements include:

  • Knowledge of higher education payroll administration
  • Specific knowledge of US Immigration and IRS rules regarding foreign national taxation
  • Knowledge of retirement and deferred income plans
  • The ability to communicate effectively with employees and departmental bookkeepers/campus payroll/campus HR offices
  • Knowledge of computer software packages, especially Microsoft Office products
  • The ability to multi-task
  • Strong organizational and time management skills, including the ability to manage multiple deadlines. 
Preferred: Advanced degree(s) and five years of experience working with foreign national tax issues, experience working with retirement/deferred
income plans, and experience uploading and entering information to vendor websites, including financial institutions. Specific knowledge of Federal law governing human resources and payroll, knowledge of university human resources and fiscal policies, knowledge and experience with employer human resources/payroll systems, and SAP experience are all preferred.
