Organizational Unit Overview:

The Admissions Office at The Brody School of Medicine at East Carolina reviews and evaluates hundreds of North Carolina applicants each year and selects applicants to fill the entering class of 82 students. For over 40 years, the School of Medicine has met the challenge given to us by the State of North Carolina: to provide medical care to the Eastern Region of the State, to educate the people of North Carolina (particularly those who come from disadvantaged backgrounds or groups which are under-represented in medicine), and to train physicians to care for the citizens of the State.

The Admissions Office is responsible for processing all the applications to the medical school, counseling premedical students and unsuccessful applicants, and performing a variety of administrative functions for the school. The recruitment of students who will ultimately become physicians committed to the care of North Carolina residents is vital. In meeting this mission, Admissions seeks competent students with diverse personalities and backgrounds from varied geographical, economic, and ethnic groups.

Job Duties :

Public Contact — Position has both telephone and personal contact with medical school applicants, advisors, recommendors, potential applicants, admissions committee members, School of Medicine personnel (from housekeepers to Deans), medical students, patients, people from other State agencies, businesses, and the general public. — Information given is moderately extensive and is frequently sensitive in nature. Includes information about the application process, admissions policy, what is expected of applicants, the status of a particular application, prerequisites, deadlines, tuition, what is present or missing from a particular application, room reservation information, and verification for enrollment. Occasionally bad news must be imparted: missed deadlines, no extensions, application materials not received, financial aide check not available, room not available, no further information to give. Sensitivity is also involved when confidential information is known but cannot be revealed: an applicant’s evaluations or chances do not look good. — Information resulting in the establishment of records or the continuation of a process is received in the form of deletions, changes, or additions to the information in an applicant’s file; applicant withdrawals or acceptance of offers; transcript requests; brochure/catalog requests; and phone messages.

Records and Reports-Medical student application materials are processed by this position in combination with the efforts of other staff members. Application files are created and maintained in SharePoint. The majority of processing and filing is handled electronically and must be accurate, with much attention given to details and confidentiality. This position creates and runs daily reports and processes necessary, including but not limited to: reconciling application fees and preparing reports; creating information cards; creating and processing interview sheets; downloading and filing recommendation letters in applicant files; and applicant updates. Applications are reviewed for completeness and submitted to the assistant director and/or the director of admissions for further review. This position plays an active role in coordinating the interview schedule and is responsible for: creating and processing necessary items for applicants and committee members; coordinating and managing lunches, and communicating interview details with applicants.

Office Operations-This position manages the general office operations including ordering supplies, processing travel; pro-card purchasing and reconcilement; maintaining office files; and any day-to-day activities necessary to keep the admissions office running efficiently.

Minimum Education/Experience:

High school diploma or equivalency; or demonstrated possession of the competencies necessary to perform the work.

License or Certification required by statute or regulation:

Preferred Experience, Skills, Training/Education:

Associate degree and/or experience in an educational setting is preferred.

Ideal candidate will possess excellent organizational and time-management skills, as well as some basic bookkeeping skills.

Experience with ECU systems (Banner, PORT, ProCard, Online Travel System) and Microsoft EXCEL, WORD, ACCESS, and SharePoint is also preferred.
