Department Summary:

The College of Health and Public Service (HPS) at the University of North Texas, distinguished as one of the few Tier One research universities designated as a Hispanic-Serving Institution (HSI), prepares graduates to address diverse and complex social issues such as aging, disability, disaster management and recovery, criminal justice, health disparities, and public safety, and find solutions to challenges in public administration, public health, and urban design. Located within HPS, the Department of Behavior Analysis prepares graduates for careers in behavior analysis as researchers, academicians and applied behavior analysts. The department has been training students in behavior analysis for over 30 years and has been recognized for Enduring Programmatic Contributions to the discipline. We offer four degree programs: an undergraduate Bachelor of Science in Applied Behavior Analysis, a Master of Arts in Applied Behavior Analysis, a Master of Science in Behavior Analysis and a Ph.D. in Health Services Research with a concentration in Behavior Analysis.

The Department of Behavior Analysis consists of nine faculty members and approximately 100 graduate students (MS and Doctoral students combined). The department maintains a friendly and casual work atmosphere. Successful candidates for the Senior Administrative Specialist position can expect to become a part of a cohesive and effective team of staff and faculty working to best serve our students across four degree programs.

Position Overview:

This position is responsible for managing the administrative operations and customer related services for a department or program. Coordinates activities and acts as department/area liaison handling issues that are very sensitive and confidential. This position serves as the primary contact for a specified program or departmental functions to include recommending and Implementing administrative departmental procedures. Duties have substantial variety and are often not routine.

Minimum Qualifications:

Bachelor’s Degree and three years of highly responsible and varied office administration or business management experience; or any equivalent combination of experience, education, and training

Knowledge, Skills and Abilities:

• Exceptional customer service skills.
• Advanced Microsoft Office skills.
• Knowledge of accounting/budgeting procedures.
• Ability to work under pressure, to adjust to constant changes, to handle multiple tasks, and to coordinate the work of others.
• Ability to keep complex records, to assemble and organize data of complex
nature, and to prepare and submit reports in acceptable formats.
• Ability to conceptualize, plan and organize multiple programs and assignments effectively.
• Ability to work on complex and confidential tasks utilizing judgment, tact, and resourcefulness.
• Skill in developing and maintaining good working relationships.
• Knowledge of policies, practices, procedures and terminology of assigned
function.
• Supervisory skills.

Preferred Qualifications:

Some familiarity with or interest in modern technologies to solve problems (e.g., CRM software; meeting planners; graphing and charting software, etc.)

Work Schedule:

Monday through Friday from 8 a.m. to 5 p.m. Some flexibility needed for events and other occurrences.

Ensures the accuracy of UNT/EIS data for department accounts through monthly reviews. Initiates and reports necessary corrective actions.

o:

Prepares and analyzes accounting data for planning estimates and budget preparation.

o:

Oversees and participates in the preparation of accounting related documents, including invoices and deposits.

o:

Coordinates travel arrangements and reimbursements.

o:

Prepares documents related to payroll and onboarding.

o:

Compiles and maintains data on retention, matriculation and other important measures for the purposes of accreditation.

o:

Oversees and participates in making supply and equipment purchases with purchasing card or other necessary means and prepares monthly purchasing card reconciliation statement accurately and by the deadline 90% of the time.

o:

Completes work in a timely manner. Meets deadlines consistently. Provides appropriate and timely responses to both internal and external stakeholders. Comes to work regularly, maintains assigned work schedule. Follows procedures requesting leave and reporting absences, and provides necessary documentation/releases to work if necessary.

o:

Understands job procedures, policies and responsibilities; keeps up to date technically; acts as a resource person on whom others rely for assistance. Accepts accountability for actions.
