A.T. Still University's Arizona School of Health Sciences (ATSU-ASHS) is looking for a dedicated and responsible administrative assistant to provide administrative and clerical support for ASHS’s inaugural program in speech-language pathology in the Department of Audiology and Speech-Language Pathology. The administrative assistant will provide support for both the academic and clinical components of the program. The administrative assistant will coordinate admissions processes, facilitating student enrollment and scheduling; contribute to overall accomplishment of program objectives, support faculty, clinical coordinators and clinical preceptors in their duties The administrative assistant must have the ability to coordinate multiple assignments related to maintenance of professional accreditation, curricular planning, expense/travel documentation, scheduling virtual and in-person meetings and completing meeting minutes, maintaining multiple calendars and working independently on special projects. Critical skills for this position include the ability to use independent judgment, meet multiple and rapidly occurring deadlines, develop priorities and be skilled at all office  systems especially spreadsheet creation, report editing and data management.

The hourly pay range for this position is $17.19 to $20.00.

Major Job Duties:
  • Provide administrative and clerical support for the Program Director and the Director of Clinical Education
  • Provide clinical system CALIPSO data management of clinical reports and student clinical hours
  • Perform duties such as recordkeeping, distribution of mail to faculty and staff, as well as shipping/receiving packages
  • Manage, schedule, prepare, and submit travel reimbursements for program faculty
  • Prepare supply orders; assist faculty with office supplies
  • Schedule Zoom and in-person meetings and set up the meetings, prepare the meeting room
  • Coordinate or provide support for meetings/conferences/special events for speech-language pathology students and faculty including commencement and orientation
  • Protect faculty, staff, and student rights by maintaining the confidentiality of all information pertaining to University business
  • Other duties as assigned

Education and Experience:
  • High school education. Technical training or schooling is a plus
  • Must have two to three years of experience in an office environment
  • Experience working in a healthcare or academic setting preferred
  • Excellent computer skills; Internet, Adobe Acrobat, Google applications such as Gmail, Microsoft Office: Word, Excel, PowerPoint and any other software program required by the position
  • Knowledge of basic business functions, e.g., preparation of correspondence, reports, etc
  • Operation of basic office equipment (PC, printer/copier/scanner)
  • Excellent verbal and written communication skills including editing, for in-person, phone and correspondence including email
  • Ability to follow directions and work well under pressure
  • Excellent organizational and problem-solving skills
  • Ability to organize and prioritize workload in order to meet necessary deadlines
  • Ability to manage detail-oriented assignments and be flexible with job assignments
  • Ability to make sound decisions
  • Ability to solve practical problems, sometimes under great pressure and tight deadlines
  • Ability to work with faculty/staff/students in a professional and respectful manner
  • A high degree of confidentiality
  • Experience interacting with internal and community affiliates
