The University of Missouri – St. Louis College of Education invites applications for a full-time Administrative Associate. This position is primary supported by funding from the Sanford N. McDonnell Professor in Character Education endowment. Assist the Sanford N. McDonnell Professor of Character Education in implementing the endowment-required character education programs, specifically the Leadership Academy in Character Education (LACE and the PRIMED Summer Institute). Administrative support to the professor his role as Co-Director of the Center for Character and Citizenship. Provide systems support in the human resource and PeopleSoft accounting functions.

This position reports directly to the Dr. Marvin W. Berkowitz, the Sanford N. McDonnell Endowed Professor in Character Education.

    Job Description

    Main duties are to coordinate materials, information, events, etc. as assigned in relationship to character education programs in the Center for Character and Citizenship (CCC) and assist Dr. Berkowitz in his administrative needs as professor and co-director for the CCC. This includes assisting him in anticipating needs for upcoming speaking engagements, travel, etc. Working relationships are established with national and international speakers as well as the greater St. Louis area educational leaders, principals and superintendents.

    • Manages office administration projects to support the Sanford N. McDonnell Professor in Character Education, including using organizational systems to direct inquiries, track calendar/reminders, order supplies, supervise and coordinate travel, keep inventory and maintain databases (i.e., resource library, program alumni, My Vitae, etc.)
    • Runs logistics, foresees potential issues and organizes program events for programs as assigned by the McDonnell Professor including, but not limited to: (1) Leadership Academy for Character Education (LACE) and (2) Primed Institute for Character Education.
    • Communicates with stakeholders to accomplish objectives. Stakeholders include but are not limited to Center for Character and Citizenship staff, UMSL students, UMSL personnel, UMSL operations departments (i.e., catering, room reservations), the public at large, school districts, program speakers, LACE participants, and visiting international scholars.
    • Recommends and implements improvements for organizational management systems such as travel protocols, invoicing/billing/payments and resource library management
    • Initiates and follows up on journal entries, payroll, accounts receivable and payable, account reconciliations, wire transfers, and contracts with attention to system requirements
    • Implements systems for human resource management in PeopleSoft such as procedures for hiring federal work study students, graduate research assistants and onboarding new staff.
    • Employs professional courtesy and confidentiality with external and internal audiences in expediting solutions for the Sanford N. McDonnell Professor in Character Education and the Center for Character and Citizenship.
    Minimum Qualifications

    A bachelor’s degree and at least 1 year of experience (or an equivalent combination of education, training and experience).

    Preferred Qualifications
    • K-12 administrative experience and higher education knowledge
    • Military veteran with administrative experience
    • UM System and UMSL systems and process experience
    • Office 365 expertise, especially Outlook, Word, and Excel
