Florida Atlantic University is seeking an Administrative Assistant, Boca Raton, FL.

Summary of Responsibilities Include:

  • Collaborate with Assistant Registrar using Banner, Resource 25 and CourseLeaf Scheduling Software (CLSS) to maintain and update scheduling data. Assist with research and data analysis pertaining to room usage. Coordinate updates to the Fast Track course report to assist Testing and Evaluation office with accurate information for SPOT evaluations.
  • Communicate with colleges and departments in regards to academic schedule changes and classroom assignments to provide accurate/updated academic course schedule.
  • Assist with the timely production of online schedule of course offerings (3 per year), classroom assignments for academic classes, final exam schedules (2 per year), and the functional security of the scheduling tools and software.
  • Coordinate creation of final exam schedules to assist in resolving conflicts and providing solutions for exceptions. Assist with classroom reservations when needed.
  • Answer phone and review voicemail messages

Minimum Qualifications:

High School or equivalent and seven years of appropriate experience required. Appropriate college coursework may substitute at an equivalent rate for the required experience.

Related experience in a meticulous attention to detail role.

Strong work ethic, excellent organizational skills, and ability to handle multiple tasks and projects simultaneously with constant interruptions.

Proficiency in Microsoft Office applications (Word, Excel, Outlook) and the willingness and ability to learn new applications and software as required.
