    To help support the work of the University, we have an immediate opening for an Administrative Assistant to support the Information Technology Services department.

    Position Reports To: CIO

    Position Summary: The Administrative Assistant serves to organize the workflow for the Information Technology Services Department. S/He devises and implements policies and procedures that allow the IT services Department to work most efficiently. The Administrative Assistant coordinates and manages purchasing, license compliance, event scheduling and travel arrangements, warranties, third party repairs, contracts, and other activities for the department as well as provides Chatham user IT related training.

    Qualifications:

    • Bachelor's or Associate degree preferred
    • Experience in an administrative support capacity, preferably in an institution of higher education preferred
    • Good general computing skills
    • Ability to provide attention to detail is critical
    • Excellent organization skills
    • Training and presentation skills
    • Desire to work with students, faculty and staff
    • Experience working with a diverse student population
    • Ability to remain calm and professional ins stressful situations
    • Ability to work with vendors to coordinate purchases, repairs, contract management, and other agreements
    • Integrity, adaptability, sense of humor, independence, cooperativeness, and a strong work ethic
    • Ability to perform multiple tasks simultaneously
    Duties and Responsibilities:

      The Administrative Assistant serves the IT Services Department by managing the administrative activities for the departmentAll phases of purchasing are administered: product/vendor research, price comparisons, PO requisitions, receipt of merchandise, authorization of payment, scheduling of product installation, creating work orders/tickets for items receivedManage warranties, licensing, and other contractsTracking departmental spendingDevelopment of departmental budgets for all ITS related accountsSoftware and manuals are organizedRepair work, both in and out of warranty, is coordinatedMeetings, conferences, training and other events are coordinatedOffice supply stocks are maintainedProvide administrative support to the CIO, other managers and staff within the departmentProvide and maintain asset management for all campus computing resources for insurance and inventory purposesThe Administrative Assistant performs other duties as required in support of the mission of the Information Technology Services Department and Chatham University
