Job Description Summary

Builds, maintains and processes the University fee assessment process for student accounts with a high degree of accuracy while meeting the established University billing deadlines. Manages the fee portal for the collection of student course fees. This includes meeting with University departments to analyze new programs for fee assessment. Responsible for setting up accounting codes for fee assessment. Analyzes student account activity and provides accurate and timely answers to all institutional loan inquiries. Provides superior customer service via telephone, email and direct contact. Responsible for collecting on all outstanding Perkins & student institutional loan receivables via phone, email, and direct contact. Analyzes delinquent loan funds for bad debt write off or collection agency placement. Coordinates with third party loan servicer and collection agencies. Serves as the liaison with the Athletic Department, in regard to student athletic billing. Provides primary backup to the University cashier and acts as the backup for the student refunding process. Must be able to manage work in a fast paced and demanding atmosphere.

Job Description

Essential Functions:

  • Builds, maintains, and runs the University fee assessment process for the billing of all University tuition and fees. Responsible for the controls and validation of the process. Accuracy of this process is critical.
  • Ability to analyze fee assessment data, identify trends and present them in meaningful ways to management.
  • Manages the University fee portal process including the collection of approved university fees and charges in order to bill student accounts.
  • Sets up accounting codes for Accounts Receivable and Financial Aid disbursements that hit the student account.
  • Manages the retiree billing process.
  • Oversees the Perkins loan fund & institutional loan funds, in regards to collections.
  • Acts as the contact for students, parents, university staff, and other third parties in regard to Perkins & institutional loans by answering inquiries involving transactions posted to student accounts with a high degree of accuracy and timeliness.
  • Monitors, coordinates and communicates with University contracted collection agencies, and third-party loan servicer including preparing legal packets for Perkins & institutional loans.
  • Manages the exit process for institutional loans.

Other Functions:

  • Serves as backup to the University cashier by receiving, depositing, and recording all monetary transactions for the University, managing petty cash disbursements, and performing the daily balancing procedure.
  • Backup for the student refunding process.
  • Posts charges to university billing accounts including preparing appropriate journal entries to ensure the integrity of the university’s general ledger.
  • Presents and educates the University community on processes in the area of responsibility.
  • Other duties as assigned.

Required Education, Knowledge, Skills, Abilities:

  • Associate degree in business or accounting or a minimum of three to five years of experience in a finance environment.
  • Knowledge of basic accounting principles.
  • Knowledge of Federal Student Loan Regulations and student loan servicing
  • Proficient in Microsoft Excel, Word and Google Docs
  • Demonstrates a high degree of independent critical thinking and decision- making skills.
  • Strong analytical skills in order to build complex fee rules.
  • Must perform work responsibilities with a high level of accuracy.
  • Willingness to build and cultivate business partnerships between various University departments including leading and participating in meetings to discuss fee set up.
  • Ability to organize workflow to achieve desired outcomes.
  • Ability to multitask and prioritize position responsibilities in order to meet University established deadlines.
  • Must exercise good judgment and discretion.
  • Must possess strong diplomacy skills and the ability to make sound judgments with constituents diverse in ability and background.
  • Evaluates processes and implement efficiencies in the area of responsibility
  • Ability to keep University records confidential
  • Ability to work positively in a demanding, high volume, fast-paced, team-oriented student service environment both independently as well as collaboratively.
  • Capability to deliver first class customer service including communicating clearly and concisely in both verbal and written formats and acting professionally in managing difficult inquiries.
  • Demonstrated commitment to the University’s values and mission.
  • Represents Student Financial Services office in a professional and customer-service oriented manner.

Preferred Education, Knowledge, Skills, Abilities:

  • NC Notary License
  • Experience in higher education.
  • Experience with Ellucian Banner.
  • Knowledge of Workday Finance
