Job Summary
Provide high level, specialized administrative services within a campus unit, usually in direct support of unit management. Position usually encompasses organization of office services within area including coordinating calendars, meetings and events, budget administration, procurement and report preparation. May provide work coordination and supervision to lower level administrative personnel within the unit. This position will interact on a consistent basis with: unit management and staff, vendors and office visitors. This position typically will advise and counsel: administrative staff . This position may supervise lower level administrative staff.
ResponsibilitiesJob Duty 1 -
Plan, execute and provide assistance for meeting and event logistics and scheduling
Job Duty 2 -
Establish schedules, oversee arrangements and provide logistics support for targeted programs and/or projects and unit initiatives
Job Duty 3 -
Evaluate, assess and report on the feasibility and sustainability of potential programs, projects and initiatives
Job Duty 4 -
Provide necessary support related to the identification and execution of adopted unit programs/projects and other unit initiatives
Job Duty 5 -
Develop, arrange/coordinate meetings and project materials for distribution, as necessary
Job Duty 6 -
Compile, organize and analyze data for use in reports for targeted programs/projects and other unit initiatives
Job Duty 7 -
Monitor and update appropriate stakeholders of progress/milestones for program/project objectives
Job Duty 8 -
Perform other duties as assigned
Required Qualifications
Educational Requirements
Technical Diploma, Associate's Degree or equivalent combination of education and experience
Required Experience
Three to five years job related experience
Working knowledge of faculty promotion and administration. Experience maintaining faculty records. High attention to detail. Thorough knowledge of Microsoft applications (Outlook, Word, Excel, and PowerPoint).

Excellent written and verbal communication, customer service and organization skills. The ability to prioritize tasks, work independently and/or within a team environment.

This position will provide administrative and logistical support to the Associate Dean for Faculty Development and Scholarship and the Assistant Dean of Faculty Affairs in the College of Engineering.
Additional duties include but are not limited to:
- Strategically manage the calendar of the Associate Dean for Faculty Development and Scholarship. Prioritize appointments and requests for the associate dean’s meetings. Assist in preparing the associate dean for meetings, events, etc. Coordinate with assistants in relevant Institute units.
- Provide administrative support to assist in the hiring, reappointment, promotion, and tenure processes, the accreditation process, and the academic program reviews for the College of Engineering.
- Coordinate travel arrangements and process reimbursements
- Coordinate purchases, track deliveries, and reconcile expenses to budget
- Maintain filing system and databases for College of Engineering faculty related information.
- Scan, route, enter and/or verify faculty paperwork/information into appropriate databases.
- Scan faculty files into a database system
- Update and maintain faculty files
- Review reappointment, promotion, and tenure paperwork for academic and research faculty
- Maintain RPT schedule for tenure track, professional track, and research track faculty, coordinating with Associate and Assistant Dean and providing support to meet deadlines
- Maintain and update CoE website related to faculty affairs topics
- Maintain faculty awards database
