Essential Job Duties:

The Business Services Coordinator (BSC) is responsible for creating and implementing the budget plans for the School of Social Work (SW). These plans include all aspects of spending in the school, including teaching salaries, non-teaching and staff salaries, graduate assistantships, temporary labor, overload payments, summer salaries, and the various components of the operating budgets for state appropriations, state receipts, and Education Technology Fee funds. The School’s Business Services Coordinator is also responsible for monitoring all other funding sources in the School including appropriated receipts, enhancement funds, endowments, grants, F&A (overhead) and trust funds. This includes coordinating with the Head, scheduling officer, and any other administrators in the school that impact hiring and expenditures and accounting for all expenses in the budgetary planning process. The Business Services Coordinator updates and reconciles the spending plan on a monthly basis and meets with school administration and the Assistant Dean of Finance & Administration on a routine basis to review the plan.

The Business Services Coordinator is responsible for the initiation of the HR actions for their departments. The Business Services Coordinator enters the additional compensation actions into the system and submits all other HR requests to the HR Specialist in college HR Services that supports their department. HR submissions are accomplished via CPAWS, a system developed by college IT to facilitate workflow management of HR actions between departments and the college. Similarly, the Business Services Coordinator submits financial actions to the Accounting Technician in college Financial Services that supports their department. The Business Services Coordinator routinely consults and partners with the college business services staff to promote effective and efficient HR and financial services in their department.

Other Responsibilities:

Runs monthly school contribution reports to send to all school Heads and runs reports on contributions at the request of development officers, school Heads, and Business Officers.

Reconciles the monthly contribution report from Advancement Services to monthly giving to ensure gifts were received properly.

Assists with special events and our board meetings. Events require working some nights.

Proofreads receipt letters to alumni, friends, and corporate donors in a timely manner and with special attention to the various circumstances.

Enters vouchers for student awards and other requisitions in the financial system.

Assists in other areas as requested.

Minimum Experience/Education:

Bachelor’s degree in business administration or a related discipline; or an equivalent combination of training and experience.
All degrees must be received from appropriately accredited institutions.

Other Required Qualifications:

Knowledge of Microsoft Word, Excel, PowerPoint or similar software products.

Ability to perform routine business transactions using a variety of systems.

Ability to perform a variety of business, fiscal, and administrative functions to address the needs of the department.

Ability to advise others in matters related to office and program operations.

Ability to review, examine and prepare documents.

Preferred Qualifications:

Bachelor’s degree

Two (2) or more years of administrative and business transaction experience.

Working knowledge of financial systems or comparable information system.

Experience supervising and performing routine business transactions and supervising staff.

Experience working in a university setting.
