Northern Arizona University is seeking a Financial Aid Advisor, Intermediate to join the Scholarships team who is committed to the Enrollment Management values of student service, integrity, valuing human difference, engagement, sustainability, responsibility, and excellence.
This position requires the full understanding and active participation in fulfilling the mission of the organization. It is expected that the employee demonstrates behavior consistent with the Office of Scholarships and Financial Aid Office’s (OFSA) core values (Empowerment, Service, Respectful Communication, Advocacy, Accountability and Integrity) and supports the strategic plan of the division of Enrollment Management strategic plan.
Assists the Scholarship Manager and Assistant Director of Scholarships in meeting the usage objectives of departmental, and state scholarship accounts.
Will involve heavy workloads during peak operations in the office, requiring work beyond normal hours.
This position reports to the Scholarship Manager.
NAU will not provide any U.S. immigration support or sponsorship for this position.
- Manages the Arizona Teachers Academy (ATA) scholarship applications and processes awards as appropriate.
- Works with College of Education as necessary to support the ATA students. Participates in the planning and organization of the awarding process to ensure compliance, quality control and accurate and timely processing of requests.
- Requests additional information for any incomplete or inconsistent requests to perform accurate award assessments
- Represents OFSA and the Scholarships area in all student, parent, donor and department communications in a professional manner. Answers questions, inquiries or requests of students, parents, donors or staff in person, in writing or by telephone regarding scholarship eligibility and awards.
- Assists in the development, maintenance and implementation of all scholarship policies and procedures.
- Runs and works appropriate scholarship reports on a regular basis.
General Department Duties
- Confers with and advises staff, students and others to provide technical advice, problem solving assistance, answers to questions; refers to appropriate department or person when unable to respond.
- Collaborates with NAU retention programs, administrative/academic departments or staff to ensure the optimum use of resources and compliance with appropriate policies and procedures.
- Evaluates and coordinates the awarding of private financial aid awards.
- Counsels and advises students about financial aid eligibility, application procedures, aid programs, costs, indebtedness, money management and financial planning; individualizes information to the particular needs and situation of the student.
- Prepares periodic reports, financial statements and records on program activities, progress, status or other special reports for management or outside agencies.
- Interacts and maintains excellent working relationships with faculty, staff, students and outside/community agencies in facilitating Student Financial Aid program objectives.
- Acts as a knowledge resource to peers, financial aid counselors and student employees.
- Develops and schedules a work plan in accordance with office goals and objectives.
- Has ability to research federal regulations and exhausts all resources available before referring to supervisor for assistance.
- Participates in Orientation, Discover NAU, and other recruitment activities.
- Has ability to train a wide variety of audiences.
- Serves on University committees as assigned.
- May require working and travelling nights and weekends.
- Develops and fosters a collaborative work environment.
- Coordinates the implementation of new technologies to promote the availability of scholarships and grants to students and improve the management of the programs.
- Assists Assistant Director of Scholarships in meeting the usage objectives of departmental, and state scholarship accounts.
- Supervises at least 1 student employee.
- Adheres to cash handling procedures.
- Other duties as assigned.
- Associates or Bachelor’s degree and 2-4 years of administrative/coordinative experience, OR
- A combination of related education, experience, and training.
- Possess a valid Arizona Driver license.
- Strong team orientation.
- Experience working in a higher education financial aid setting, or scholarship office.
- Proficient in use of PeopleSoft Student Administration software, as well as working knowledge of Salesforce case management and OnBase document imaging.
Knowledge, Skills, & Abilities
Knowledge of government rules, regulations, guidelines and procedures related to financial aid.Knowledge of higher education law, including FERPA, Title IX, HIPAA, etc.Demonstrated experience and knowledge in working with students and individuals of diverse backgrounds.Ability to analyze problems and make well-reasoned sound decisions.Skill in planning, organizing and giving direction to meet desired office goals and objectives.Excellent organizational skills.Excellent presentation and communication skills.Demonstrated ability to maintain confidentiality.Extensive customer service experience.Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
This position has been identified as a safety/security sensitive position. Therefore, per AZ Revised Statute, Northern Arizona University requires satisfactory results for the following: a criminal background investigation, employment history investigation, degree verification (in some cases) and fingerprinting.

Finally, each year Northern Arizona University releases an Annual Security Report. The report is a result of a federal law known as the Clery Act. The report includes Clery reportable crime statistics for the three most recent completed calendar years and discloses procedures, practices and programs NAU uses to keep students and employees safe including how to report crimes or other emergencies occurring on campus. In addition, the Fire Safety Report is combined with the Annual Security Report for the NAU Flagstaff Mountain Campus and NAU-Fort Defiance as these campuses have on-campus student housing. This report discloses fire safety policies and procedures related to on-campus student housing and statistics for fires that occurred in those facilities.

The budgeted salary amount is $38,000.
**The starting salary will be determined by the qualifications of the selected applicant balanced with departmental budget availability, internal salary equity considerations, and available market information.
This position is exempt from the overtime provisions of the Fair Labor Standards Act (FLSA) and therefore will not earn overtime or compensatory time for additional time worked.
This is a Classified Staff (CLS) position.
