Position Summary:

This position will provide administrative support to advising units within the Office of Instruction, including the Exploratory Center and the Pre-Professional Advising Office. Operational duties will include support of front desk services, student staff, telephone lines, and departmental email accounts, management of physical office and supplies, and purchasing and preparation of payment requests for vendor invoices. Program support duties will include general support of advising services and event planning for three advising offices, such as the annual Law School Fair and Health Professions Fair. Administrative support for New Student Orientation sessions that occur in December, January, and May-August will require close work with Exploratory Center staff and other campus partners on a daily basis. This position will work with a variety of stakeholders and manage multiple outreach projects, so an exceptional degree of professionalism is expected. Because this individual will interact directly with Exploratory Center and Pre-Professional Advising Office employees and advisees, they must demonstrate an appreciation for and a commitment to accommodating diverse backgrounds and experiences in the course of their daily work. Additional duties and opportunities may develop as Office of Instruction advising units expand mission and services in the future.

Duties/Responsibilities:

Provide administrative and operational support to Office of Instruction advising offices as follows:
o Manage physical office, including equipment, supplies, and work order requests
o Support front desk reception operations during university business hours; assist with training front desk staff
o Provide front desk coverage in the absence of other available staff
o Answer and manage phone calls and emails to the advising offices
o Assist business manager with purchasing and preparing payment requests for vendor invoices
o Assist in communication and programming with partner units on campus
o Assist in scheduling meetings and other team events, as well as training schedules and onboarding for new staff
