Job Description:

Sarah Lawrence College seeks an Advancement Coordinator & Strategic Assistant, an essential role as the administrative manager for the Vice President of Advancement and External Affairs and the Associate Vice President for Philanthropy.

This position requires an energetic professional who is highly organized, proactive, possessing exceptional critical thinking and decision-making skills. This position will be responsible for the efficient and effective administrative processes of the VP and AVP and the management of the office at large. The candidate will have strong writing skills, a good sense of time management, demonstrate sensitivity to donor and Trustee relationships, and understand the value and importance of confidentiality. Equally, the Advancement Coordinator must be able to organize and execute projects according to the VP and AVP priorities.

Essential Duties Summary:

Responsibilities:
•Assist in fundraising efforts in conjunction with the VP and AVP for Advancement

•Serve as the liaison between the Advancement department and the President’s office

•Prioritize workflow and interdepartmental communications related to a wide range of matters requiring the attention of the Vice President of Advancement and External Relations.

•Communicate & inform other team members of VP’s needs & act as the liaison between each area.

•Exercise discretion & solid judgment in flagging and prioritizing matters requiring the immediate attention of the Vice President and the AVP and in determining when and how the VP and AVP should be informed of emerging or evolving issues. Respond on behalf of the VP, learn to make day-to-day decisions that save the VP time, and move things forward.

•Independently gather data and information the VP will need to make decisions

•Ensure the VP has all necessary information & materials before meetings, events, or important calls, following up as needed.

•Ensure Board of Trustees, senior staff, and donors always receive superior attention.

•Maintain confidentiality, exercise discretion, and protect the sensitivity of work and communications within the office.

•Be responsible for general administrative duties such as generating correspondence. This includes drafting and editing on behalf of the VP and AVP, calendar management,
travel arrangements (including generating itineraries), meeting management (including generating agendas, booking rooms, ensuring all materials are prepared). Filing, copying, answering phones, order and maintain supplies.

•Attending or booking special events with VP may include booking space, guests, interacting with high-level staff, or high-profile donors. This will consist of possibly working evening or weekend hours, on average 2-3 days per month.

•Prepare and Manage budgets

•Pull reports, add to donor records

•Create PowerPoint slides when necessary

•Identify and recommend opportunities for process improvements and lead in the implementation of such initiatives.

•Other duties as required.

Required Qualifications:

Candidates Requirements:

•Minimum 3-5 years of administrative experience and or communications, operations, public relations, or event coordination experience.

•Experience supporting a senior executive is important, however candidates with the ability to demonstrate comparable skills and abilities will be considered.

•Proven ability to effectively interface with high-profile individuals and leave a positive impression.

•Able to handle multiple projects and priorities with poise and confidence.

•Proven ability to work independently and exercise excellent judgment. Impeccable attention to detail; highly organized.

•Able to think and plan ahead, keeping VP informed at all times. Anticipate needs.

•Solid technical skills, including the full MS Office Suite (Word, PowerPoint, & Excel). Database experience/CRM experience is a plus. Possess the ability to learn new software quickly.

•Excellent written and verbal communication skills; must be able to draft own correspondence and other writing pieces.

•Bachelor’s degree required.
