The position supports the HR effort for biweekly and monthly payroll by performing a variety of administrative responsibilities using discretionary and individual judgment to ensure that the IRIS functions are accomplished within the policies/practices of the University in a timely and accurate manner. This position also monitors compliance with I-9 federal and state laws. All I-9 forms are entered into the everification system as required by state and federal law.

Job Functions/Responsibilties:


Manage the employment eligibility verification process following state and federal guidelines. Review of all incoming I-9 forms and documentation, follow up with departments to ensure each I-9 is in compliance by requesting additional documentation as necessary. Maintains and files all I-9's for proper record keeping. Review I-9 exception reporting and notify supervisor of noncompliant I-9's. Provide guidance to departments with I-9/Everify questions. Participate in regular I-9 compliance webinar and training to maintain up-to-date knowledge. Researches and monitors changes in immigration compliance regulations and brings them to the attention of the supervisor.


Review paper and electronic forms for validity and appropriate authorizations upon receipt. Process assigned transactions received each pay period in IRIS by established deadline dates. Scan and process required documentation to ensure accurate record keeping. Respond to records related and human resources policies and procedural questions. Conduct appropriate research, resolve problems and follows-up with staff members. Processes annual performance evaluations and conflict of interest forms by entering data and scanning forms into IRIS.

Monitor H1-B's for salary and position requirements. Maintain time sheets on any part-time H-1B employees. Complete written verification of employment by accurately completing external verification forms or composing verification letters. Verify co-workers entry into IRIS and verify the scans.



High school diploma or GED required.

Preferred knowledge, skills, and abilities:

Knowledge of I-9's and IRIS Accurate data entry skills Knowledge of HR policies and procedures.

Knowledge, skills, and abilities:

Knowledge of I-9/Everify, familiarity with foreign documents, university policies and procedures , SAP/IRIS knowledge.

Computer skills, Microsoft Office skills, excellent customer service skills, good writing and oral communication skills.

Ability to problem solve, multi-task, manage time, maintain confidentiality, work in a team, attention to detail.
