JOB SUMMARY:

Clemson University's Department of Engineering & Science Education is looking for an Administrative Coordinator I to fulfill the following duties:

  • Serves as Lead administrative assistant to the Department Chair.
  • Manages the administrative, financial, and personnel activities of the department to ensure efficient and effective operations.
  • Performs other duties as assigned.


JOB DUTIES:

25% - Essential - Office Management:
Manages the main office in the absence of the Department Chair. Oversees administrative and student services staff, and student workers in the daily running of the office operations. Serves as a resource on policy and procedure.

20% - Essential - Fiscal Support:
Conducts duties covered by a fiscal tech including but not limited to the following activities: purchasing supplies and services needed by ESED, reimbursing ESED faculty, staff, and students for travel and special purchases, serving as liaison for the departmental P-Cards, collecting and storing accurate backup documentation according to university policy, reconciling the Pcard statements monthly, serving as bill payer for ESED.

20% - Essential - Administrative Support:
Takes responsibility for the smooth running of a small, dynamic department where professionalism, initiative, and office skills are paramount. Provides administrative support for the Department Chair by serving as a confidential assistant and liaison between the Department Chair, professional and administrative staff, alumni, and gift donors. Coordinate's meetings, records minutes, prepares and distributes reports and arranges domestic and foreign travel.

20% - Essential - Personnel Support:
Coordinates and prepares departmental payroll and all personnel functions related to employment. Responsible for all unclassified, classified, graduate student, temporary, and undergraduate biweekly paysheet reports. Gathers and submits information for appropriate visas for international employees, faculty, students, visiting scholars, and postdoctoral candidates.

15% - Essential - Student Services Support:
Serves as a backup for the student services coordinator. Develops and posts GS61 every semester and summer. Provides maintenance of databases of current PhD and Certificate students, and alumni. Schedules interviews for prospective students. Attends meetings of GAC and student services coordinators, as necessary.

MINIMUM REQUIREMENTS:

Education Associate's Degree in Office Management or Financial Services

Work Experience Relevant experience in business management, public administration, or administrative services or a Bachelor's degree may be substituted for the required work experience.

Firm Job Knowledge - Firm working knowledge of concepts, practices and procedures and ability to use in varied situations

SUPERVISORY RESPONSIBILITIES
No Supervisory Duties - Not responsible for supervising employees.

BUDGETARY RESPONSIBILITIES
Provides Budget Input - Provides input into the budgeting process, and oversees fund allocation.

Standard Hrs: 37.5; Expected Salary Range: ($ 40,500.00 - $ 44,972.88)
