The School of Medicine (SOM) Office of Admissions is seeking an Intermediate Administrative Coordinator to provide customer service and other important administrative office functions. The position requires the ability to send written communication using email along with consistent monitoring of and timely responses for the primary email inbox for the office. Similarly, this position will be responsible for answering incoming phone calls and questions. Comfort with telephone communication will be critical. Ideal candidates will possess strong organizational skills, time management, and flexibility to navigate a busy workflow with frequent interruptions. This position requires the ability to work independently with minimal supervision. Ideal candidates will be able to present a warm and welcoming presence when working directly with students and visitors while adhering to strict confidentiality guidelines.

On-site presence is required full-time (Monday - Friday) when traditional workflow resumes following the workplace changes brought on by the pandemic. This position serves as the backup for the senior level administrator and must coordinate personal time off as such to maintain office coverage. This position is defined as an “essential function” during the admissions season (approximately July – March).

Job Responsibilities Include:

  • Represent the School of Medicine in a frontline capacity by offering superior customer service via telephone, email, and in-person exchanges.
  • Communicate effectively in writing.
  • Adhere to strict confidentiality guidelines and handle highly sensitive and personal data in an appropriate manner.
  • Utilize high attention to detail and organization regarding the processing of application documents.
  • Collaborate as an integral member of the admission team providing support with ongoing projects.
  • Work independently with minimal supervision.
  • Ability to learn new software platforms with training and guidance.
  • Maintain flexibility in a dynamic working environment.
  • Comfort in asking for help and guidance and ability to be responsive to feedback when working with customers.
  • Maintain professionalism and a friendly and approachable demeanor.
  • Effectively use video communication technologies like Zoom for daily interactions on camera and microphone.
  • Perform other duties as assigned.

MINIMUM REQUIREMENTS:
Education: High School Diploma
Experience: At least four years experience

This is a restricted position; continuation is dependent on funding and satisfactory performance.

PHYSICAL DEMANDS

This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings, and programs.
