The University of Virginia seeks applications for a Medical Education Assistant to support the Department of Family Medicine. The Department of Family Medicine offers primary care for patients of all ages. The Medical Education Assistant provides administrative support services to medical education programs. They perform administrative duties that include data entry, record-keeping, and act as the frontline contact for students and medical professional personnel. They are responsible for developing, scheduling, implementing and compiling the assessment and evaluation of program effectiveness for medical students and graduate medical education trainees. Responsibilities include data analysis and reporting for educational quality improvement, accreditation, and scholarly activities.
The Medical Education Assistant will provide administrative support to the department's education team as well as to departmental faculty. The incumbent is responsible for providing a high level of efficient, professional, and accurate administrative services within the departmental education team as well as general support to departmental faculty and projects. Responsibilities include, but are not limited to, assisting with residency and fellowship recruitment, preparing materials, scheduling meetings, telephone reception and triage, data entry and assisting with creating presentations. Additionally, library & Pub Med searches, downloading and sending media documents, as well as utilizing social media and webpage management can be important parts of the role as well. This position also assists other staff in the department during absences, increased volume of work, etc.
Maintain office files related to medical education programs such as records, reports, and correspondence in an organized, detailed, and accurate fashion.
Operate general office machines such as copy machines, scanners and calculators. Use basic computer applications, such as word processing and email.
Promptly answer telephone calls and emails from students, screen calls, and respond to routine requests or refer requests to the appropriate professional personnel.
Schedule and coordinate meetings, educational events, and travel. Monitor calendars, bringing pertinent items and dates to the attention of medical professional personnel.
Track expenditures with receipts or other relevant documentation and prepare and/or process reimbursement requests.
Process, prepare, and edit reports and documents.
Provide assistance with the coordination of the interview and selection process, credentialing process, and graduation verification.
Provide assistance to department leadership to ensure operations are executed on schedule, provide facilities support and resources are used efficiently.
In addition to the above job responsibilities, other duties may be assigned.
High School Diploma with at least two years of administrative support experience is required. Bachelor's degree may substitute for experience.
Excellent oral and written communication skills are required.
Proficiency in MS Office (including Word, Excel, Outlook, PowerPoint). Additional applications such as MS Project or Visio are preferred.
Outstanding customer service and interpersonal skill.
The ability to work accurately with attention to detail and multi-task.
The ability to maintain confidentiality.
This position will remain open until filled. This is a Non-Exempt level, benefited position. This position is a restricted position and is dependent upon project need, availability of funding and performance. Anticipated Hiring Range: $16.81 - $21.01 (per hour) commensurate with education and experience. The University will perform background checks on all new hires prior to employment.
