Job Details
The Program Coordinator works closely with the Director, as well as the Manager of Finance and Administration, and is responsible for efficient and smooth operations of the Trans-Regional Institute.
Responsibilities- Oversees financial and budget management, in consultation with Director, and handle financial transactions
- Coordinates postdoctoral and/or visiting fellow searches, appointments, and serves as contact person once postdoc/scholar/visitor is hired
- Arranges annual meetings with the institute's advisory council and executive committee, oversees daily operations, including handling all inquiries and drafting correspondences
- Event Management
- Coordinates all aspects of the lecture series and conferences/workshops and serve as primary resource person for these events: contact speakers, arrange travel, accommodations and honoraria, oversee publicity
- In the case of conferences held abroad, act as a liaison with foreign co-sponsors and consultants
- Responsible for website layout and updates, zoom events and newsletters
Qualifications
- Knowledgeable with website platforms, navigating zoom, creating newsletters. Position requires excellent organizational, communication and interpersonal skills
- Proficiency with Mac products, MS Office Suite and/or Google Suite, Excel, Photoshop, and Adobe Acrobat
- The ability to demonstrate a high level of professionalism, strong customer service skills, able to work well with people and institutes abroad, adaptability and capable of working well independently as well as cooperatively
- High levels of organizational skills are required for coordinating events, following University and Department policies and procedures, maintenance and reporting of financial data, and file management
- Must be dependable and reliable, deadline oriented, able to adhere to budgetary guidelines, exercise good judgement and discretion
- Familiarity with PeopleSoft, Prime, Concur, Drupal and other university systems is preferred
- Associates degree or equivalent required; Bachelor's preferred
