Under the direction of the Director of UNCF Mellon Programs, the incumbent manages and coordinates the day-to-day data activities and communications of the UNCF/Mellon Undergraduate Fellowship Program and UNCF/Mellon Faculty Career Enhancement Programs. This position coordinates the day-to-day management of the Undergraduate Fellows Program, the logistics for the annual Summer Institute and the Faculty Seminar Experience.
This is a grant-funded position.Essential Duties and Responsibilities:
•Maintains database which tracks Undergraduate and Faculty Program participants and outcomes.
•Helps to coordinate on-line communications platform for applications.
•Creates virtual presence opportunities for all constituents.
•Works with Director to prepare recruitment materials and communications via print/online resources for all programs including social media management, website, brochures, and other forms of communication as needed.
•Maintains Directory of contacts for each partner institution and provides regular updates via newsletter to the UNCF/Mellon Programs community
•Works with Director to prepare and organize materials for conferences and Advisory Board engagements.
•Tracks and compiles all data for Annual Reports.
•Works with Director to develop annual reports to be distributed to the UNCF/Mellon Programs constituencies
•Monitors activities/communications regarding Faculty Career Enhancement Programs and Undergraduate Fellows Program.
•Assists Director and Senior Administrative Assistant in logistical planning and execution of annual conference and southeastern regional conference.
•Travels with the Director to promote programs.
•Serves as liaison between Programs Office and all Mellon Affiliates (Leadership Alliance, Social Science Research Council, Institute for the Recruitment of Teachers and Faculty Residency Sites).
•Works with website manager to maintain regular updates focusing on Undergraduate Fellows and Faculty Fellows.
•Serves as liaison between Programs Office and faculty program participants.
•Works with Director and Senior Administrative Assistant to plan and execute logistics related to undergraduate and faculty career enhancement programs.
•Provides logistical support for Faculty Career Enhancement Consultants.
•Works with Senior Administrative Assistant to monitor all budget requests and allocations regarding above responsibilities.
•Assists Director with flow of communications on behalf of Programs and manages the flow of written communication.
•Participates in weekly discussions/ updates with Director regarding progress and challenges of all programs.
•Works with Director to create and curate all promotional materials related to the Programs.
B.A. degree in humanities and/or social sciences preferred with a minimum of four years of related program coordination experience required.
The incumbent must have excellent leadership, organizational and programming skills. The candidate must have experience with data base management and effective follow-up and coordination of data. The candidate must have experience with social media communications and on-line platforms to enhance management and communications. Interpersonal and communication skills are very important as the interaction with program constituents is important. This work requires excellent writing and oral communication skills. Ability to read, analyze, and interpret documents, operation and procedural manuals, and professional business periodicals/reports. The incumbent must have the ability to write reports, business correspondence, and policies/procedure manuals. The work also requires the ability to effectively present information and respond to questions from parents, students, faculty, staff, and constituents of UNCF, faculty, staff, and students.
To perform this job successfully, an individual must have technical proficiency/expertise with online platforms and applications including Google, social media, Canva, internet, Gmail and advanced skills using Microsoft Office Suite (Word, Excel, and PowerPoint) which includes creating flyers; typing letters/memos and e-mails; creating spreadsheets that include formulas; presentations plus things such as creating brochures, creating tables, newsletters, graphs, and forms.Shift:
