HR REPRESENTATIVE - SECTION OF SURGICAL DISCIPLINES

Assist managers and employees in interpreting Human Resources policies and procedures, ensuring it aligns with Duke Corporate Human Resources (Benefits, Payroll, Rewards &Recognition, and Recruitment). Be proactive in recognizing possible HR and payroll issues to reduce impact on the department.
Assist managers with job description development and position management.
Work with the Divisional Administrators to ensure funding availability for staffing requests. Initiate vacancy management action forms, create positions, and manage requisition open and close processes as required.
Work with other Duke entities to resolve unique human resources issues.
Work with the HR Manager to implement and coordinate HR programs and initiatives supporting the overall organizational goals and objectives.
Work with HR Manager on talent acquisition and retention activities including but not limited to the development of search plans and strategic recruitment strategies / initiatives, advertising and cost analysis, job fairs, candidate sourcing and evaluation, tracking and evaluating time to fill data, turnover analysis, and streamlining of the recruitment processes.
Train managers on departmental/university processes as it relates to: Success Factors, [email protected], Hiring of staff, students and clinical associates.
Monitor and maintain the90 day Orientation and Evaluation process and tracking database for newly hired/transferred employees. Collaborate with managers on trial period extensions to ensure the trial period is managed appropriately. Collect performance review documents and assist in Salary Setting entry during the annual evaluation process.
Assist with managing all Duke Student and Non-Duke Student hires for the department. Assist managers in completing the appropriate paperwork when bringing volunteers and unpaid interns.
Responsible for the maintenance of electronic and paper personnel records.
Serve as a liaison between the HR Manager, Divisional Administrators, Recruitment and Corporate Human Resources.
Review resumes and conduct salary/equity reviews for current employee. Communicate with SOM Management Center and PDC Regarding salary recommendations for potential employees. Assist in offer letter review and approval. Monitor open requisition activity/status and make recommendations to facilitate/expedite the hiring process. Manage the new hire/transfer process, for all staff, students and clinical associates.
Process all salary changes, supplements, and personal data changes for Section of Surgical Disciplines staff and faculty. Act as backup for timecard approval as needed.
Assist the HR Manager in communicating new initiatives, polices and materials to the Divisional Administrators and Surgery leadership.
- Run and maintain reports:
- Maintain vacant/filled report.
- Run active roster report in iForms when conducting equity reviews.
- Run iForms report weekly to notify Surgery IT of new/transferred/terminated staff to ensure addition and removal from appropriate mail distribution lists.
- Run dFac reports as needed
Manage the appointment/hiring process for Clinical Associates, and other non-regular rank faculty members.
- Processd Fac forms (Appointments, New Faculty Member, Promotion/Change of Status, Leaves, Personal data changes).
- Process hires (I-9, orientation registration).
- Process salary/schedule changes.
- Process supplements.
- Process all faculty terminations.
Required Qualifications at this Level
Work requires organizational, analytical and communication skills acquired through the completion of a bachelor's degree program.
Work requires two years of business, administrative and/or supervisory experience with exposure to supervisory or human resource policies and practices related to employee relations. A master's degree in a related field may be substituted for 2 years of experience.
