The Administrative Assistant schedules appointments, gives information to callers, takes dictation, and otherwise relieves officials of clerical work, minor administrative, and business details. Assist executives with coordinating editorial activities in selecting and preparing material for print and publication in newsletters, reports and related publication by performing the following duties:
Essential Duties & Responsibilities

• Reads and routes incoming mail. Locates and attaches appropriate file to correspondences to be answered by employer.
• Composes and types routine correspondences, Performs assigned duties in the office as needed
• Organizes and maintains file system, and file correspondences and other records.
• Answers and screens manager’s telephone calls and arranges conferences calls.
• Coordinates manager’s schedules and makes appointments
• Greets scheduled visitors and directs to appropriate area or person
• Arranges and coordinates travel schedules and reservations
• Conducts research, complies and type statistical reports
• Coordinates and arranges meetings, prepares agendas reserves and prepares facilities, and records and transcribes minutes of meetings
• Makes copies of correspondences or other printed materials
• Prepares outgoing mail and correspondences, including emails and faxes
• Orders and maintains supplies and arranges for equipment maintenance
• Confers with manager, department heads and editorial staff to solve publication problems and determine theme of issue or articles
• Coordinates preparation of final materials with graphics designers, suppliers and printers
• Prepares or directs preparation of news public relations release, special brochures, and similar materials
• Modifies and implements designs generated by other to ensure quality products

Education/ Experience-

• Bachelor’s Degree
• Previous administrative support experience
• Excellent verbal and written communication skills
• Proven computer skills with Microsoft Office Suite
• Excellent organization skills
• Must possess a professional appearance and demeanor
