Director of Conferences and Events Director of Conferences and Events Director of Conferences and Events Director of Conferences and Events Coe College is seeking qualified candidates for the position of Director of Conferences and Events. The Director is responsible for the overall management, marketing and operations of facilities available for rental by the general public, which include the Gage Union, Sinclair Auditorium, Athletics and Recreation Center, Clark Tennis Pavilion and other meeting spaces on campus. Responsibilities include marketing and selling of rentable spaces, policy formulation, fiscal management, event management, food and beverage coordination, with security, production, maintenance and related operations. This position also has oversight of Summer Programs. Essential Job Responsibilities:

  • Author effective business and marketing plans that will lead to revenue and participation growth for the College's conference services and camps, particularly in the expansion of use of summer housing and the development of high-profile conference relationships. Update and maintain the areas website.
  • Marketing strategies for the facilities mentioned above. Builds relationships with other College personnel, departments and the community to develop the “Single Access Point” concept the College would like to convey to the general public.
  • Oversees the scheduling and booking of public facilities. The student center (Gage Union) and the other spaces scheduled through "[email protected]" are also the responsibility of the Director of Conference and Events.
  • Aggressively promotes the use of these facilities to maximize their utilization, occupancy, and net revenues. while resolving problems arising in connection with operational plans and schedules.
  • Directs, assists and oversees new business forecasting and the procurement of events. Negotiates contracts and agreements with a variety of clients. Establishes rate structures for meeting room rental, production services and coordinates food and beverage with on campus catering.
  • Oversees the fiscal expectations of the department. Administers budgets and develops additional revenue streams. Approves all expenses and oversees purchasing of equipment and supplies consistent with approved budgets.
  • Provides leadership and direction to ensure long-term facility productivity. Directs the development of policies and procedure that foster a team approach and encourages the highest levels of customer service, employee morale, safety and performance.
  • Establish metrics to measure effectiveness of the entire conference services and camps operation and routinely monitor revenue and expenses, participation, enrollment and attendance for all events. Manage multiple budgets and prepare regular financial reports related to all conference services and camps programs.
  • Must be willing to work a flexible schedule including nights and weekends when necessary.
  • Additional duties as assigned.
Qualifications:
  • A bachelor's degree/master’s preferred or related field experience with progressive responsibilities.
  • Successful completion of a background check in accordance with Coe College policy.
