This position is responsible for the administration and budgets for programs within the Department of English, Film, Languages, and Performing Arts. The primary purpose of this job is to work with the department chair to effectively coordinate operations related to the management and budget across multiple programs within the department. This includes oversight, records management, and reconciliation of all departmental expenses such as department and program budgets, grants, contracts, and professional development funds. The job also entails working with the chair and the program coordinators with the day-to-day management of the entire department and its multiple programs. These duties include, but are not limited to, purchasing, course scheduling, arranging meetings and events, department travel, field trips, hiring of students, and executing the paperwork for the hiring of staff, and faculty. The position serves as a first point of contact in handling many student questions that will guide students in the right direction.Responsibilities
Primary - 50
Provide budget support for programs within the department, specifically working with the Chair and the CACSI Budget Manager to maintain, balance, and reconcile budgets. Assist the department chair with accounting and budget responsibilities for departmental operations: include oversight of all departmental expenses and upkeep and management including Budget amendments and other related documents, reconciliation etc. Also assist faculty with reimbursements for professional development funds because these funds are in budgets that administrative support staff are having to reconcile.
Assisting/ Supporting - 35
Serve as primary liaison to administrative units within the university involving personnel matters including hiring (assist when necessary).
Manage office workload and paperwork, process check request, petty cash and purchasing requisitions through ePro. Build course schedules using Banner software, reserve class rooms, process textbook request and course pack material related to courses. Maintain office files, supplies and equipment. Prepare hiring PARs for student workers. Maintain student files for multiple degree programs. Supervise temporary student employees.
Assist the department chair with day-to-day management of the office/ department on a variety of aspects regarding departmental administration and duties ¿ including course scheduling and input, workload, other duties as assigned.
Student Services - 10
Student services¿Administrative support is often the first contact for students, therefore, guiding students in the right directions is paramount. Assisting students and other guests with questions and needs.
Other duties - 5
Assist in departmental meetings taking minutes. Supporting departmental activities, projects and other duties as assigned.
High School diploma or GED equivalent.
Other Required Qualifications
This position will have budget and pCard responsibilities and therefore the applicant must successfully pass a credit check.
Four ¿ six years of administrative experience required.
Preferred Educational Qualifications
Two years administrative experience at a college or university preferred. Experience using PeopleSoft, ePro, Banner, and ADP is preferred. Should be able to establish and maintain good interpersonal relationships with faculty, staff, students, and the public. Ability to supervise others.
$17.14 (min) - $22.38 (midpoint)Knowledge, Skills, & Abilities
Experience using Word and Excel and other budget software.
Must have effective oral, written, time management, computer, and organizational skills.
