This position provides administrative support for the Assistant Dean for Advancement and other members of the Law Advancement Team. Responsibilities include a wide variety of tasks including but not limited to scheduling appointments, creating meeting agendas, monthly reconciliation of travel expenses, processing gifts, assisting with gift fund agreements, generating monthly gift reports, generating prospect and donor reports, and responding to needs of Academic Partners. These duties and tasks reflect substantial variety and complexity.

- Schedule meetings, gather agenda items, maintain the calendar, and make travel arrangements with detailed itineraries for the Assistant Dean for Advancement to ensure efficient time management.
- Provide administrative support functions such as directing phone calls, sorting and distributing mail, establishing and maintaining files, document management, preparing correspondence, maintaining office equipment, resolving hardware and software issues with System Advancement IT team, ordering office supplies and maintaining adequate inventory levels, etc.
- Enter data relevant to donor contacts and activities, sending donor updates to the Processing department as needed.
- Work with the CU Foundation to assist in establishing new gift funds, route fund agreements to ensure required approval signatures are acquired in timely manner.
- Complete new gift account forms, route and follow-up on forms, and provide complete information to Accounting and Processing Departments.
- Process donor checks and gifts within 24 hours, complete routing and track forms, generate appropriate acknowledgments.
- Research and resolve issues or discrepancies regarding donations, fund transfers, and new gift funds. Follow up to confirm changes have been made.
- Assist development staff in identifying, cultivating, soliciting and stewarding donors and prospective donors through utilization of databases; assist in tracking proposals and development officer activities.
- Utilize data from central database to create requested reports, spreadsheets, and correspondence on a routine basis. Generate and refine downloads for reports and mailing labels as requested by development staff.
- Assist in preparation and monitoring of the monthly budget, foundation proposals, reports, and event support. May assist with event sponsorships, the annual leadership giving program and other duties as assigned.
- Hire and supervise student assistants, providing assignments and guidance as needed.
- Act as liaison with university administrators, faculty and staff regarding Advancement questions, research information, reports, and operations.
- Demonstrate a strong dedication to and experience in diversity, equity and inclusion within Advancement.
- High School Diploma, GED, or equivalent combination of years of experience will substitute.
- A minimum of 3 years of administrative experience.
- Expert knowledge of word processing, spreadsheets, and database management software (e.g. BSR Advance and Microsoft Office: including Word, Outlook, Excel and PowerPoint).
- Excellent communications skills both verbal and written.
- Proven understanding of general office procedures and protocol.
- Ability to provide professional customer service in all internal and external interactions.
- Adept with managing multiple tasks and due dates simultaneously, setting priorities in a fast-paced and constantly evolving environment.
- Proven data entry skills with ability to input information accurately; prepare and maintain detailed records, files, and reports on an ongoing basis.
- Solid knowledge of database management with the ability to run queries, generate reports, and utilize the data.
- Solid ability to work with accuracy and attention to detail in financial matters.
- Solid ability to exercise a high degree of diplomacy, discretion, confidentiality of data and collaboration with all levels of staff members, faculty, alumni, and donors.
- Personal computer proficiency required. Digital literacy may be subject to testing/verification.
- Bachelor’s Degree.
- 3 or more years of administrative experience in non-profit, events, or development/fundraising.
- Familiarity with customer relationship management (CRM) software systems, such as Microsoft Dynamics or Salesforce.
