Administrative Assistant

Coastal Carolina University is accepting applications for the following position: Administrative Assistant (Administrative Assistant) in the Center for Global Engagement. Serving as a part of a dynamic team supporting campus internationalization initiatives, this colleague will serve as a core part of a Center for Global Engagement team.

Responsibilities include, but are not limited to: act as liaison between Associate Provost for Global Initiatives, staff, faculty, students, and the public; manage the calendar for the Associate Provost for Global Initiatives, coordinate scheduling among all staff in Center for Global Engagement, and provide project management for designated projects across the department; coordinate international visitor schedules to campus; responsible for correspondence and meeting minutes for all meetings; manage processes involving contracts, billing and travel booking/support, p-card and travel expenses, procurement and ITS compliance matters, all international insurance processing and reporting, and budgetary reporting support; manage international scholarship administration, collection and coordination; provide information and answers questions regarding Global Initiatives and Center for Global Engagement; gather and maintain information related to activities and programs within the department; manage appointment setting, room reservations, catering, and transportation; manage personnel and compensation documentation processing for all CCU faculty teaching abroad on institutionally approved programs; billing to partner institutions; visa and travel arrangements; supervise student assistant; and other duties as assigned.

Required qualifications: High school diploma or equivalent (GED) and at least one (1) year of related experience. A bachelor’s degree may be substituted for the related work experience.

Preferred qualifications: associate’s degree or more advanced degree and at least three (3) years of administrative support experience or equivalent education, training and experience.

Knowledge, Skills & Abilities:

Knowledge of state higher education policies, procedures, and regulations; ability to coordinate diverse administrative functions; and experience developing and managing effective archiving of administrative processes. Advanced capabilities in working to create and amend documents in Microsoft Word, Excel, PowerPoint with some experience in website utilization/maintenance; exceptional oral and written communication skills; exemplary evidence of strong organizational skills; demonstrated ability to establish and maintain effective working relationships; the ability to manage multiple tasks in a high pressure environment; and successful experience working in a setting involving international cooperation, coordination, and communication.
