Your opportunity:

UTOPIAN is a network that brings together Department of Family and Community Medicine (DFCM) researchers, primary care clinicians and practices from all its academic sites to answer important healthcare questions and translate findings into practice.

As the University of Toronto Practice Based Research Network (UTOPIAN) Research Project Coordinator, you will play an integral role in coordinating a wide range of research network activities for UTOPIAN. You will coordinate multiple projects in concert with partner organizations and institutions. This includes overseeing day-to-day management of agreements, partnerships, grant and REB submissions, monitoring grant budgets, and building and strengthening relationships with project stakeholders. Your project management experience, combined with your solid collaborative, organizational, analytical and critical thinking skills will be key to your success in this role.

Your responsibilities will include:

  • Ensuring contracts and agreements prepared by others are consistent with University policy and standards, coordinating the preparation of submission materials and funding applications
  • Drafting and submitting documented procedures to the Research Ethics Board (REB) for approval; responding to enquiries and resolving issues, escalating problems as required
  • Liaising with agencies, collaborators, industry sponsors, faculty and other stakeholders to provide detailed information on funding applications and upcoming report requirements and deadlines; advising on challenges with funding opportunities and providing options
  • Developing project schedules including milestones, critical path, timelines, deliverables and also tracking, collecting information on project progress
  • Preparing consent forms using templates,creating and editing documents
  • Coordinating meeting schedules, agendas, materials, action and follow-up items as well as exchanging information in progress meetings
  • Monitoring project budget to ensure expenditures remain within budgeted allocations and generating standard financial reports

Essential Qualifications:

  • Bachelor's Degree in health administration, health policy, health sciences, health services research, or related fields or equivalent combination of education and experience.
  • Minimum three (3) years’ of relevant work experience in project coordination in a research setting
  • Demonstrated experience coordinating Research Ethics Board submissions, and understanding factors related to data collection and confidentiality
  • Demonstrated experience drafting correspondence and documentation, assisting with grant and funding applications
  • Experience coordinating meetings for working groups and committees,including, drafting meeting materials and minute taking
  • Demonstrated experience coordinating and organizing tasks for large research projects and recommending new processes and procedures to streamline operations as well as tracking project timelines and deliverables
  • Demonstrated experience collating and organizing data for reports
  • Demonstrated experience fostering positive relationships with internal and external stakeholders
  • Excellent working knowledge of PC platforms (MS Word, PowerPoint, Excel, Adobe Acrobat, Access)
  • Strong research and analytical skills as well as demonstrated initiative and a strong commitment to the field of research
  • Excellent organizational, time management, administrative, and problem-solving skills
  • Excellent communications skills (written and verbal), with ability to work independently but also effectively as part of a multi-professional project team
  • Ability to exercise initiative, tact, discretion, and to work under pressure to meet deadlines and manage multiple processes
  • Demonstrated project management skills
  • Exercises strong judgment, attention to detail and a high degree of accuracy


Assets (Nonessential):

  • Project Management Certification (PMP) is an asset
  • Familiarity with Electronic Medical Record systems

USW Pay Band 11 -- $66,326 with an annual step progression to a maximum of $84,818. Pay scale and job class assignment is subject to determination pursuant to the Job Evaluation/Pay Equity Maintenance Protocol.
