The Office of the Dean provides leadership in academic programming and services to the campus, ensuring a positive and academically responsive environment to change. Your Opportunity:

The Manager of Operations and Project Management, Office of the Vice-Principal Academic & Dean, works closely with the Director, Office of the Vice-Principal Academic & Dean and is responsible for the efficient and effective management of the Dean’s Office. The incumbent is responsible for managing the Dean’s Office operations, communications and play a lead project management role in the execution of various decanal initiatives, working groups, project committees and special projects.

Responsibilities also include: oversight of the Academic Integrity unit in the Dean’s Office; human resources; managing the processes related to academic contracts and agreements; leading process improvements, overseeing communications, coordinating projects, providing advice, briefing information and recommendations based on research and analysis on a wide range of issues, and ensuring that the necessary follow up occurs; attending internal and external meetings; anticipating outcomes and ensuring appropriate and timely follow up; liaising with senior academic and administrative staff at UTSC, across the University; and communicating decisions and coordinating responses as necessary in relation issues managed in whole or part from the Office of the Vice-Principal Academic & Dean.

Qualifications:

(Minimum Qualifications)

Education: University degree required, post-graduate degree (Master’s or Phd) an asset, or an equivalent combination of education and experience. Project Management Certificate an asset.

Experience: A minimum of seven years of senior level administrative support experience, preferably in an academic environment, proven success in providing superior service and support in a busy, demanding environment; experience with operations, communications, project management, strategic planning, change management and process development and implementation. Demonstrated experience with effectively managing and developing staff. Demonstrated operations and project management experience in liaising with staff and senior administrators, responding to and handling matters of a complex, confidential and highly sensitive nature.

Skills: Excellent communication skills (written and oral), operations and project management skills, analytical and problem solving skills required. Advanced computer skills in Microsoft Office (must be able to set up templates and macros in Word and Excel, set up Excel spreadsheets and graphics, prepare sophisticated PowerPoint presentations, knowledge of Sharepoint), Internet, Acrobat, and scheduling software.

Other: Demonstrated experience in guiding teams. Superior critical thinking, analytical and problem-solving skills; political acuity and judgement; ability to engage with senior University administrators and academics in a manner which facilitates cooperation and consensus building; ability to work independently with a high degree of initiative, discretion and tact; excellent communication (written and oral), facilitation, presentation and leadership skills; creative, self-directed, innovative, results oriented; flexibility and problem solver orientation; detail oriented balanced with a big picture perspective; ability to work under pressure; superior organizational and time management skills in planning, project management and task coordination; strong leadership capabilities; and solid understanding of Project Management methodologies
