Advertised Job Summary:

Job duties include:

Will provide assistance with greeting, assisting and directing faculty, students and visitors. Will answer main phone lines and direct calls to appropriate departments within the College and university as needed. Will oversee the COE electronic database, scan/move documents within and place into appropriate electronic department and/or employee file. Will also create new personnel folders as needed. Will also be responsible for filing hard copies of the Dean’s Office operating paperwork as needed. The Dean’s office operating paperwork includes but not limited to documents for Human Resources (HR) paperwork (offer letters, hiring proposals, background screenings, etc.), travel authorizations (TA’s), travel reimbursement vouchers (TRV), Foundations Check Request, etc.

Responsible for creating personnel electronic folders for COE Employees (to include, faculty, staff, research grant and temporary staff for College of Education. Will process payment request, deposits, and purchase orders in the PeopleSoft Finance system to support the College.

Process Graduate/Work study students hire actions though the HR/Payroll (HCM) system as needed for the Dean’s Office and process E-Verify/I-9’s as needed.

Will serve as the purchase card liaison for the College. Responsible for office purchasing card transactions.

Other duties as assigned.

Minimum Qualifications (Classified and Unclassified positions):

Bachelor’s degree and 4 years of work experience that is directly related to the area of employment, or high school diploma and 8 years work experience that is directly related to the area of employment; or equivalency.


The ability to work effectively with individuals and teams, flexibility, strong interpersonal skills and experience with customer relations, outside clients and third-party providers. Ability to self-motivate, be attentive to details and deadlines and demonstrate current knowledge of PeopleSoft practices and procedures.
