Job Id: 646 # of Openings: 1 Purchasing Assistant/Office Coordinator Job Overview This position is responsible for providing customer service to purchasing constituents, supporting the Accounting & Purchasing staff, and conducting daily imaging, linking and indexing of purchasing documents into campus imaging systems. The Purchasing Assistant reports to the Controller. Duties and Responsibilities

  • Manages front desk receptionist duties that include the following:
  • Process and distribute mail for Purchasing, Accounting, and General Counsel
  • Enter work orders
  • Maintain copier supplies
  • Order office supplies as needed
  • Processes and maintains good standing with new vendors in Unimarket
  • Contacts and assists vendors with setting up direct deposits
  • Manages box files for Accounting & Purchasing department
  • Assists in managing Wheaton College’s annual diversity spending with Strategic Sourcing and Operations Manager
  • Manages Copier Billing Report each month
  • Assists Treasury Accountant with reconciling bank accounts each month
  • Serves as support to Purchasing and Accounting staff as needed
  • Performs basic bookkeeping activities in support of the Accounting and Purchasing team
  • Processes copier refund requests and error logs
  • Maintains department office supplies inventory
  • Sets up new users for UPS Campus shipments
  • This job description is intended to represent key areas of responsibilities; specific assignments may vary from time to time, and other duties may be assigned. Qualifications
    • Working experience with Unimarket Eprocuement system and Banner Ellucian
    • Experience as receptionist helpful
    • Basic knowledge of Microsoft office
    • Background in Customer service
    • Highly organized and detail-oriented
    Physical Requirements The Purchasing Assistant is regularly required to sit, talk, or hear; frequently required to walk across campus, carry packages delivered to the department, keyboarding, and able to use repetitive hand motions.
