Position Information: Description

The Department Assistant is a front-facing position that provides support to the Department of Marketing, and the Department of Economics and Finance. The Department Assistant will serve as the receptionist in office and will assist students and faculty on a daily basis via in-person, telephone, and email. The Department Assistant will assist the Chair, faculty, students, prospective students, alumni and other stakeholders in all professional manners. This position will work with the finances and inventory of the department along with other miscellaneous departmental functions and some college-wide duties and will report directly to and be evaluated by each respective department chair with a dotted line reporting to the HR and Finance Manager in the Dean’s Office.

Duties & Responsibilities

Marketing Department and Economics & Finance Department Assistant - supporting students and faculty

  • Working with students in varying aspects
  • Assist faculty with syllabi, duplication, textbook orders, room scheduling
  • Assist the Chair/Director with class schedules, catalog components, degree plans, curriculum, scholarships, assessment and other aspects to keep the department running smoothly
  • Will be front desk person doing daily activities such as mail, phone, greeting visitors
  • Assist new faculty with policies, procedures, keys, access, login information, class rosters
  • Assist Chair in managing prospective student communications and outreach and managing the department student peer-to-peer tutor office activities.
  • Assist Chair in management of social media platforms for the department in alignment with NCoBPA and UND practice

Marketing Department and Economic & Finance Department - finance and inventory coordinator

  • Supervise and maintain budgets for all funds
  • Assist faculty with travel planning including reimbursement
  • Monitor CC statement and transactions
  • Attend professional development training as required by supervisor
  • Reconcile funds monthly
  • Process payments through Jaggaer system
  • Conduct and monitor inventory for your department in conjunction with Dean’s Office staff person
  • Process all hire paperwork for students and manage their timesheets
  • Manage the key inventory and order keys for all individuals that require them
  • Assist with department training for new faculty hires and student employees

Marketing Department and Economics & Finance Department Miscellaneous department functions

  • Departmental office assistant
  • Assist chair with updating and maintaining policies and procedures
  • Assist chair with alumni relations
  • Process the department newsletter
  • Organize departmental functions and marketing materials
  • Assist the chair with the Executive in Residence program
  • Assist in developing department graduation survey
  • Schedule combined final exam rooms
  • Assist with the financial processes of the Research Seminar Series

NCoBPA College Committee Assistant

  • Serve as staff support for CoBPA committees (i.e. Curriculum, JQL, and Promotion, Scholarship and Grants)
  • Work with the Chair of each committee to schedule regular and special meetings
  • Attend meetings as necessary to take notes/minutes
  • Provide assistance with follow-up items for each meeting

Minimum Requirements

    Requires High School Diploma

    Two years’ experience in office setting

    Excellent work experience with Microsoft Word, Excel and Outlook

  • Successful completion of criminal history records check.

  • Associate’s Degree 

  • Experience supervising student workers

  • Experience working in Higher Education and professional office setting

  • Experience with PeopleSoft and Perceptive Content, Starfish and Scholarship Central/Academic Works

Minimum Hiring Salary/Position Classification

$34,000/annual, full-time benefitted, non-exempt

Work Schedule/Start Date

Monday - Friday, 8am to 4:30pm. Potential start date of July 19, 2021
