General Description:
The Office of Facilities Planning and Support Services is committed to providing excellent customer service to faculty, staff, students and visitors of NOVA.

Facilities Planning & Support Services Consists of:
•Operations – Provides all campus Buildings and Grounds activities and encompasses maintenance work — grounds work, landscape work and the processing of work orders.
•Planning and Projects – Manages project requests and is responsible for planning and providing project management services.
•Transportation – Manages the College motor pool, which includes a small fleet of vehicles available for use by college employees for work-required travel.

The Administrative Assistant / Scanning position will provide document management support to the office.
Duties and Tasks: Job duties included but are not limited to: scanning and filing of record documents. Coordination and gathering of data for input to department reports and assist with records archives.

Other duties might include administrative support for Managerial and Administrative Staff.
Essential Functions: Document Management and Administrative Support

Special Assignments:

May be required to perform other duties as assigned. May be required to assist the agency or state government generally in the event of an emergency declaration by the Governor.

KSA's/Required Qualifications:

Required KSAs:
•Proficiency with Microsoft Office Suite, use of PC’s and peripherals such as scanners, printers, poratable storage devices.
•Ability to perform data entry, compose written documents and scan documents.
•Ability to analyze and interpret data;
•Ability to manage multiple priorities while meeting deadlines and providing excellent customer service;
•Ability to be an effective team contributor;
•Excellent communications skills both oral and written;
•Ability to follow directions, handle multiple priorities and meet established deadlines.
•High initiative, positive attitude and attention to detail are essential.
Minimum Qualifications:
•High School diploma or equivalent.
•Prior administrative support or customer service experience.
•Valid driver’s license.

Preferred Qualifications:

•Previous administrative experience supporting management and staff;
•Associate degree or equivalent combination of education, training, and experience;
•Experience in a college or a state agency.
