Job Description Summary

The Financial Administrative Coordinator in the Department of Landscape Architecture is an integral part of the four-person management team that keeps the busy Landscape Department running smoothly. S/he is responsible for many of the financial duties of the department as well as assisting with outward-facing duties such as department events.
Under general supervision of the Department Coordinator and working closely with the central School's Finance Office, coordinate, manage, record, and track all expense transactions for the Department of Landscape Architecture within the department's approved operating budget including all course and studio accounts; recommend best procurement practices to faculty, students, and staff; enforce financial policies and procedures; monitor accounts to ensure they are operating within budget; Generate monthly reports for the department and identify and recommend specific budget lines to support unforeseen expenses. Report directly to the department coordinator and chair any expense requests that are problematic. Process invoices, purchase orders, reimbursements, honoraria, stipends, journals and secure travel, hotel and other accommodations for departmental guests. Manage petty cash, the department purchase card, and supplies. Provide payment for and help coordinate group and individual travel. Manage the financial aspects of lecture series, special events, and department catering arranged by other staff in the office. Assist the Department Coordinator in updating the department manual and notifying faculty of changes in University fiscal policy. Assist in managing the Ian McHarg Center budget, which involves remitting travel reimbursements, vendor and speaker payments and overall budget and grant tracking. Provide administrative support to the Department Coordinator as needed.

Job Description

Responsibilities:

Approve all expenditures, ensure adherence to budgetary guidelines; meet weekly with Department Coordinator to review department spending.
  • Process invoices, purchase orders, reimbursements, honoraria, stipends, and secure travel, hotel and other accommodations for departmental guests, manage petty cash, the department purchase card and supplies
  • Manage the financial aspects of lecture series, special events, and department catering arranged by other staff in the office.
  • Generate monthly reports for the department, identify and recommend specific budget lines to support unforeseen expenses.
  • Assist the Department Coordinator in updating the department manual and notifying faculty of changes in university fiscal policy.
  • Assist with financial duties for the Ian McHarg Center, including travel reimbursements, vendor.
  • Other duties and responsibilities as assigned.

Qualifications:

A High School Diploma or GED and 5 years to 7 years of experience or equivalent combination of education and experience is required.
